The posting

We are looking for an Executive Assistant to the Founder. This is a high-responsibility individual contributor role with no direct reports, covering business tasks only, with no personal errands. Mailbox and calendar are the baseline. On top of that, you receive entire work projects from the founder and carry them from brief to result, with full ownership. Some of the work here is already automated. The rest has no ready-made process, and you are expected to build one: automate what repeats, bring in the company’s internal resources and teams, and find the best way to solve each task. We need someone experienced and exceptionally efficient, who has done this before and does not need step-by-step direction.

WHAT YOU’LL BE DOING:

  • Sort the founder’s corporate mailbox, route cases to the responsible teams, and track each one until it is closed.
  • Manage the calendar and daily plan, including calls and meetings across multiple time zones.
  • Organize internal and external meetings, online and in person, with preparation and follow-up.
  • Set up the founder’s task management system: choose the tools, structure it, keep it current.
  • Coordinate cross-team projects and the other assistants supporting the leadership team.
  • Plan travel and organize events.
  • Handle commercially sensitive information.

WHAT WE LOOK FOR IN YOU:

  • 3+ years of experience as an Executive Assistant in an international company.
  • Fluent Russian and English.
  • Working hours that overlap substantially with GMT+4.
  • Hands-on experience with task management tools and confident work in spreadsheets.
  • Judgment about what you decide yourself and what goes to the founder, and willingness to act on the first group without asking.
  • A habit of closing loops: you finish things, not just remind about them.
  • Ability to spot problems early and deal with them before they escalate.
  • Readiness to travel for business at least twice a year.
