Als Directiesecretaresse / Office Manager bij Doorgrond ondersteun je de drie directieleden van een jong en groeiend bedrijf in de handel in grond en zand. Zij zijn commercieel en veel onderweg, want de handel halen zij uit de markt en uit lopende projecten. Alle ondersteunende taken die hen daarbij in de weg staan, komen bij jou terecht. Je schakelt de hele dag door met de directie: zij bellen je vanaf locatie met verzoeken zoals een mail klaarzetten, iets uitzoeken of een afspraak inplannen. Dit zijn je kerntaken:

Agendabeheer en het voorbereiden van het wekelijkse overleg en het directieoverleg

Actielijsten opstellen en bijhouden

Projectadministratie: meldingen bij het bevoegd gezag, documenten en wet- en regelgeving rond grondtransport

Wekelijks overzicht van de lopende projecten: wat is gekeurd, gereden en gefactureerd

Leads en offertes bijhouden in Pipedrive en het salesoverleg voorbereiden

Ondersteunen bij personeelszaken en meedenken over verbeteringen in werkprocessen

De drijvende kracht achter marketing en social media: contentkalender, foto's en wekelijks een LinkedIn-post

Daarnaast onderhoud je contact met klanten, leveranciers en instanties en organiseer je zo'n twee keer per jaar een bedrijfsevenement. Doorgrond is nog volop in opbouw, dus je komt niet in een gespreid bedje terecht. Jij brengt de structuur aan. Dat past bij iemand die met het bedrijf wil meegroeien, maar net zo goed bij iemand met veel ervaring die dat prettig vindt in een klein en jong team.

Minimaal MBO-4 werk- en denkniveau; een diploma is welkom, maar geen must, werkervaring weegt zwaarder dan het papiertje;

Ook als je uit een andere sector komt, bijvoorbeeld de horeca, ben je welkom;

Je bent gestructureerd, proactief en sociaal: je wacht niet af, pakt zaken zelf op en spreekt ook de directie aan als iets blijft liggen;

Je bent in staat om overzicht te bewaren en structuur aan te brengen in een organisatie waar nog niet alles is uitgedacht;
