The posting

Voor de administratieve ondersteuning van onze klant actief in de bouw- en schilderwerken regio Zwevegem zijn we op zoek naar een zelfstandige en nauwkeurige administratieve flexi-medewerker (2 dagen in de week, 3 uur/dag om te starten).

  • Je ondersteunt de zaakvoerders bij een aantal terugkerende administratieve taken, zodat zij meer tijd kunnen besteden aan klanten, planning, werfopvolging en het team.
  • Je werkt voornamelijk achter de schermen, maar hebt ook regelmatig contact met klanten en onze medewerkers. Een goede computerkennis, nauwkeurigheid en een praktische ingesteldheid zijn daarom belangrijk.

Jouw taken:

Administratieve opvolging

  • Controleren van de prestaties van onze arbeiders: uren en kilometers
  • Nakijken en verwerken van gegevens in ons ERP-programma Robaws
  • Registreren van verbruikte materialen aan de hand van werkbonnen
  • Voorbereiden en structureren van administratieve gegevens per werf
  • Voorbereiden van de nodige documentatie voor nieuwe en lopende werven

Verslagen & documenten

  • Omzetten van technische informatie uit OneNote naar verzorgde PowerPoint-verslagen
  • Opmaak en structurering van documenten en presentaties
  • Documenten overzichtelijk en gebruiksklaar maken voor intern gebruik

Offertes & facturatie

  • Administratief voorbereiden van offertes en facturen in Robaws
  • Gegevens controleren en vervolledigen
  • Ondersteunen bij de administratieve opvolging van offertes en facturatie

Klantencontact & planning

  • Telefonisch of via WhatsApp contact opnemen met klanten om een werf in te plannen
  • Afspraken en praktische informatie correct verwerken
  • Aanmaken van WhatsApp-groepen per werf en de juiste personen toevoegen
  • Ervoor zorgen dat de nodige informatie vóór de start van een werf beschikbaar is

  • discreet omgaat met bedrijfs- en klantinformatie
  • graag praktisch meedenkt en problemen signaleert
  • een verzorgd document of overzicht belangrijk vindt
  • zich gemakkelijk kan aanpassen aan verschillende administratieve taken
  • Je spreekt vloeiend Nederlands
  • Je kunt vlot tot het bedrijf geraken te Zwevegem

Ervaring in de bouwsector is geen absolute vereiste.

Affiniteit met administratie, planning en digitale systemen vinden we belangrijker.

Ervaring met Robaws, Outlook, Office, PowerPoint, OneNote of gelijkaardige software is een pluspunt. We voorzien uiteraard de nodige uitleg over onze manier van werken.
