The posting

Van een agenda in Den Haag tot een diplomatieke reis naar Oeganda: jij zorgt dat alles geregeld is. Als managementondersteuner bij het ministerie van Buitenlandse Zaken houd jij overzicht in een omgeving waar veel tegelijk gebeurt. Je ondersteunt de Directie Sub-Sahara Afrika en zorgt dat afspraken, informatie en praktische zaken op het juiste moment bij de juiste persoon terechtkomen. Geen dag is hetzelfde: vandaag plan je een overleg, morgen regel je de praktische zaken voor een internationale reis.

Je houdt je onder andere bezig met:

• Het beheren van de agenda van het afdelingshoofd en het plannen van afspraken. • Het beheren van mailboxen en telefoontjes. Je beantwoordt vragen zelfstandig of zorgt dat ze bij de juiste collega terechtkomen. • Het voorbereiden en ondersteunen van vergaderingen, inclusief het maken van verslagen en het verzamelen van de benodigde stukken. • Het organiseren van evenementen en teamactiviteiten, van locatie en uitnodigingen tot naamkaartjes en andere praktische zaken. • Het ondersteunen bij Note verbales, nota's en brieven. • Het aanmelden en ontvangen van bezoekers en hen begeleiden naar hun afspraak. • Het regelen van praktische zaken rondom internationale reizen.

Dat laatste kan behoorlijk concreet zijn. Gaat een collega bijvoorbeeld naar Oeganda? Dan zorg jij voor de memo voor het diplomatiek paspoort, lever je de juiste documenten aan bij de Visumbalie en stem je hotel en transfer af met de ambassade. Jij hoeft niet zelf op reis, maar zorgt er wel voor dat de reis achter de schermen goed geregeld is.

Je werkt 36 uur per week, start zo snel mogelijk en de opdracht loopt tot uiterlijk 3 augustus 2026. Hybride werken is mogelijk.

Functie-eisen: Jij houdt ervan als zaken geregeld zijn. Ook wanneer er meerdere vragen, afspraken en verzoeken tegelijk binnenkomen, houd jij het overzicht. Je stelt prioriteiten, werkt nauwkeurig en ziet wat er moet gebeuren zonder dat iemand je daar steeds aan hoeft te herinneren.
