Your Mission
For the Meeting & Events Center of one of our prestigious international clients in Brussels, we are looking for a Meeting & Events Center Coordinator who is available to start as soon as possible.
You will be responsible for the day-to-day operational coordination of the Meeting & Events Center, ensuring the smooth running of meetings, events, breakfasts, and other activities organized on site.
This versatile role combines hospitality, event coordination, technical follow-up, administration, and customer service.
You will act as the central point of contact between users, catering teams, logistics, technical services, suppliers, and the Building Manager.
Your ResponsibilitiesMeeting & Event Coordination
Your responsibilities will include:
- Coordinating the daily activities of the Meeting & Events Center.
- Following up on meetings, events, breakfasts, and other activities organized within the center.
- Collecting and centralizing all necessary information for each booking.
- Communicating requirements to the relevant teams, including catering, logistics, and technical services.
- Ensuring that meeting rooms and related services are correctly prepared in accordance with each booking.
- Managing bookings and activities through our web application and reservation system.
- Ensuring a high level of service before, during, and after each event.
Daily Technical Checks
Every day, you will check the spaces and equipment within the Meeting & Events Center to ensure that everything is functioning correctly.
This includes checking audio, video, presentation, and meeting equipment, as well as quickly identifying any technical issues.
In the event of a problem, you will manage the following process:
Problem identification ¿ Contact with the relevant technical service or supplier ¿ Quotation request ¿ Information to the Building Manager ¿ Follow-up after approval
You will ensure that every technical issue is properly documented and followed through until it is resolved.
Administration & Invoicing
You will also be responsible for the administrative follow-up of the Meeting & Events Center, including:
- Processing and following up on bookings in our system.
- Centralizing information related to additional services.
- Following up on supplier interventions and quotations.
- Preparing the information required for invoicing.
- Managing the complete invoicing process related to bookings and additional services.
- Ensuring that all operational and administrative information is accurate and up to date.
Your Profile
We are looking for someone who is:
- Professional and strongly service-oriented.
- Comfortable working in a demanding corporate and international environment.
- Organized and able to manage several meetings or events simultaneously.
- Independent and capable of taking responsibility for the center's daily operations.
- Comfortable coordinating suppliers and different operational teams.
- Confident using digital tools and booking systems.
- Detail-oriented, thorough, and proactive in identifying issues.
- Comfortable with administrative tasks and invoicing processes.
- Flexible regarding working hours.
- Calm and solution-oriented when dealing with unexpected situations.
Experience in hospitality, meeting and event coordination, office management, facility management, reception, or corporate services is a strong advantage.
Working Hours & Flexibility
This is a 30-hour-per-week contract, from Monday to Friday.
Working hours are variable and determined according to the activity of the Meeting & Events Center.
Depending on scheduled meetings and events, some working days may start earlier, while others may finish later.
The schedule is therefore organized according to operational requirements and the events calendar.
Flexibility regarding working hours is an essential part of this position.
What We Offer
