The posting

Als Office Manager neem je de kantooradministratie in handen van twee bedrijven actief in renovatie en buitenschrijnwerk. Je ondersteunt een gevestigde aannemer en een jong, groeiend zusterbedrijf dat gespecialiseerd is in ramen, deuren en andere oplossingen in PVC en aluminium.

Je wordt de administratieve spil van beide organisaties en werkt rechtstreeks samen met de zaakvoerder. Je combineert werf- en personeelsplanning met offertes, facturatie, klantencontact en dossierbeheer. Dankzij jouw overzicht en opvolging verlopen afspraken, bestellingen en administratieve processen vlot.

Je verantwoordelijkheden:

  • Opstellen en bewaken van de planning van renovatiewerven.
  • Inplannen en opvolgen van de plaatsingsploegen voor buitenschrijnwerk.
  • Vastleggen van afspraken voor opmetingen, showroombezoeken, plaatsingen en opleveringen.
  • Opvolgen van bestellingen bij leveranciers.
  • Zorgen dat materialen tijdig beschikbaar zijn op de werf.
  • Uitwerken en opvolgen van offertes.
  • Opmaken van voorschot- en eindfacturen.
  • Opvolgen van betalingen en versturen van betalingsherinneringen.
  • Klaarzetten van aankoopfacturen voor de boekhouder.
  • Fungeren als eerste aanspreekpunt voor klanten via telefoon, e-mail en WhatsApp.
  • Zorgen dat elke klantaanvraag binnen 24 uur een antwoord krijgt.
  • Opvolgen van nieuwe aanvragen en commerciële leads.
  • Behandelen van vragen rond naservice en klachten.
  • Beantwoorden van Google-reviews.
  • Begeleiden van klanten bij hun aanvraag voor Mijn VerbouwPremie.
  • Verzamelen van EPB-documenten en relevante attesten, waaronder het btw-attest voor het tarief van 6%.
  • Bijhouden en actualiseren van klant- en werfdossiers.
  • Ondersteunen van de directie en het verkoopteam.
  • Je beschikt over ervaring in een administratieve functie.
  • Kennis van bouw, renovatie of schrijnwerk vormt een pluspunt.
  • Je spreekt en schrijft uitstekend Nederlands.
  • Kennis van Frans en/of Engels biedt een meerwaarde.
  • Je werkt vlot met de computer.
  • Ervaring met offerte- of planningssoftware is mooi meegenomen.
  • Je werkt georganiseerd en nauwkeurig.
  • Je kan zelfstandig werken en prioriteiten stellen.
  • Je behoudt het overzicht bij uiteenlopende taken en aanvragen.
  • Je blijft rustig en klantvriendelijk, ook tijdens drukke momenten.
  • Je neemt graag verantwoordelijkheid op.
  • Je bent gemotiveerd om mee te bouwen aan een groeiende organisatie.
