Personal Assistant / Office Manager € 3.500 - € 4.500 Functie omschrijving Dit ga je doen Als Personal Assistant ben je de rechterhand van Martin (directeur) en Alexander (asset manager). Tegelijk ben je als Office Manager het aanspreekpunt voor het hele kantoor, waarbij je taken overneemt van Karin (finance). Het is een splinternieuwe functie, dus je krijgt alle ruimte om de rol zelf vorm te geven vanuit de ervaring die je hier mee hebt. Je geeft ondersteuning, brengt structuur aan, ziet welke taken nog toegewezen moeten worden en kijkt waar helpende handen nodig zijn. Martin is naast directeur van de vastgoedtak en 2 IT bedrijven ook bestuurslid van ondernemersverenigingen en aandeelhouder van 2 IT-gerelateerde bedrijven. Hij heeft altijd zelfstandig gewerkt maar heeft nu behoefte aan ondersteuning. Als PA krijg je de ruimte om zelf aan te geven welke taken je uit handen zou kunnen nemen. Je zorgt in ieder geval voor: Het beheren en bewaken van de agenda; De voorbereiding van afspraken (wat zijn de agenda- en actiepunten, zijn de vorige notulen en ingezonden stukken ontvangen en doorgelezen?)); Het doornemen van zijn mailbox en met hem afstemmen welke mails je kunt oppakken en beantwoorden; Het schakelen met de conciërgeservice voor zakenreizen, hotels, relatiegeschenken e.d. Alexander is asset manager bij Klop Beheer en voert daarnaast ook opdrachten uit voor andere bedrijven. Ook voor Alexander krijg je als PA de ruimte om aan te geven waar je mogelijkheden tot ondersteuning ziet. Je zorgt in ieder geval voor: Het beheren van de agenda; Het bijwonen van (interne) afspraken om korte gespreksverslagen en actiepunten te maken; Het inzichtelijk houden van de openstaande actiepunten; Het monitoren van communicatie met de diverse partijen m.b.t. overeenkomsten met diverse partijen (Gemeente, aannemers, adviseurs e.d.); Karin draagt graag haar taken over die bij het office management hoort.
