The posting

Als Officemanager Griffie ben jij het administratieve en sectorale hart van de Griffie van Gemeente Rijswijk. Je zorgt ervoor dat de bestuurlijke besluitvorming van de gemeenteraad soepel en professioneel verloopt.

Je registreert en plaatst documenten in het raadsinformatiesysteem iBabs en verzorgt de volledige administratieve afhandeling. Je bewaakt actief alle termijnen binnen het besluitvormingsproces en zorgt voor correcte, uniforme naamgeving van documenten volgens de schrijfwijzer, zodat alles goed vindbaar is in zoekmachine Raadzaam.

Je beheert de mailbox van de griffie en handelt berichten tijdig en zorgvuldig af in afstemming met de griffier en raadsadviseurs. Je bent het eerste aanspreekpunt voor raadsleden, fractieassistenten, collegeleden, ambtenaren en externe relaties.

Daarnaast ondersteun je de forumgriffiers bij het opstellen van conceptagenda's en publiceer je de forumagenda's na vaststelling door het presidium. Je onderhoudt contact met inwoners die zich willen aanmelden voor inspraak tijdens een forum of raadsvergadering en organiseert bijeenkomsten van A tot Z: zaalreserveringen, catering en faciliteiten.

Tot slot monitor je na vaststelling de publicatie van documenten en voer je kwaliteitsverbeterende werkzaamheden uit in iBabs.

Minimaal MBO werk en denkniveau.

Werkervaring als officemanager bij een overheidsorganisatie.

Ervaring met gelijktijdig schakelen met interne en externe stakeholders.

Fysiek aanwezig op maandag, dinsdagmiddag en woensdag vanaf 09:00 uur.

Donderdag en vrijdag thuiswerken mogelijk.
