This position serves as a critical link between clients, laboratory staff, quality teams, and operational support groups to ensure studies are executed efficiently, accurately, and on schedule.

The ideal candidate enjoys coordinating multiple priorities, communicating across departments, managing laboratory workflows, and ensuring project requirements are translated into successful laboratory execution. This is an excellent opportunity for individuals with a scientific background who are looking to combine laboratory knowledge with operations, coordination, and client-facing responsibilities.

Responsibilities

  • Review client requests, quotations, purchase orders, protocols, methods, specifications, and related documentation to ensure study requirements are clearly established and understood.
  • Create and maintain accurate project records within LIMS, client management systems, and other operational databases.
  • Coordinate study initiation activities, ensuring samples, methods, reference materials, specifications, and required resources are available prior to project launch.
  • Serve as a primary point of contact for assigned clients and provide regular communication regarding project status, timelines, and deliverables.
  • Lead client meetings and maintain clear documentation of decisions, action items, and project updates.
  • Collaborate with Laboratory Operations, Quality Assurance, Sample Management, Stability Services, Finance, Business Development, and other support groups to facilitate successful project execution.
  • Monitor timelines, milestones, deliverables, and open action items while proactively identifying and communicating potential risks.
  • Review project scope and identify changes in client requirements, supporting change management and commercial review processes as needed.
  • Assist with invoice review, billing milestone tracking, and resolution of routine discrepancies.
  • Resolve operational issues using established procedures and escalate concerns appropriately when additional support is required.
  • Maintain complete, accurate, and audit-ready project documentation.
  • Provide cross-functional support and backup coverage for team members when required.
  • Contribute to continuous improvement initiatives that enhance laboratory efficiency, communication, and client satisfaction.

Qualifications

Minimum Qualifications

  • Bachelor's degree in Chemistry, Biochemistry, Biology, Pharmaceutical Sciences, Chemical Engineering, or a related scientific discipline.
  • Minimum of 2 years of professional experience in a laboratory, scientific, quality, operations, project coordination, or client services environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Authorization to work in the United States indefinitely without restriction or sponsorship.

Preferred Qualifications

  • Experience working in a GMP, GLP, FDA-regulated, pharmaceutical, biotechnology, environmental, food testing, or contract laboratory environment.
  • Exposure to laboratory information management systems (LIMS), quality systems, or enterprise software platforms.
  • Experience coordinating projects, studies, laboratory workflows, or client deliverables.
  • Strong problem-solving abilities and attention to detail.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience working with quality systems such as eLIMS, Empower, EtQ, TrackWise, or similar platforms.
  • Ability to analyze data, identify trends, and support operational decision-making.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
