Project Coordinator

We're hiring a highly organised and proactive Project Coordinator to join First AI and support the successful delivery of AI adoption, implementation and transformation projects for major organisations.

About First AI Group

First AI is a specialist enterprise AI consultancy focused on adoption and implementation. We help organisations turn Generative AI into measurable business impact.

Founded by leaders with experience at Microsoft and the University of Cambridge, we created our Generative AI Academy to develop commercially sharp, client-ready AI consultants.

About the Role

As a Project Coordinator, you will play a central role in ensuring our client projects run smoothly from initiation through to completion. You'll work closely with AI Adoption Managers, AI Engineers, client stakeholders, and leadership to coordinate project activities, manage timelines, track deliverables, and ensure an exceptional client experience.

This is an ideal role for someone who enjoys organisation, communication, problem-solving, and working in a fast-paced technology consulting environment.

Key Responsibilities

  • Project Coordination
  • Coordinate day-to-day delivery activities across multiple client projects.
  • Track actions, milestones, timelines, and dependencies to ensure projects remain on schedule.
  • Support the planning, organisation, and execution of project workstreams.

Stakeholder Management

  • Work closely with clients and internal teams to maintain clear communication and alignment.
  • Facilitate collaboration between technical and non-technical stakeholders.
  • Ensure project updates, decisions, and actions are communicated effectively.

Delivery Support

  • Assist in structuring and managing projects from initiation through to completion.
  • Monitor project progress and identify potential risks, issues, or blockers.
  • Proactively help remove obstacles and ensure that critical actions do not fall through the gaps.

Operational Excellence

  • Support the continuous improvement of project management processes and delivery standards.
  • Maintain project documentation, trackers, and reporting materials.
  • Contribute to the development of scalable delivery practices as the organisation grows.

Requirements

  • Strong organisational and administrative skills.
  • Excellent communication and relationship-building abilities.
  • Ability to manage multiple priorities and stakeholders simultaneously.
  • High attention to detail and strong problem-solving skills.
  • Comfortable working in a fast-paced and evolving environment.
  • Proactive mindset with the ability to take ownership of tasks and follow through to completion.

Bonus Points

  • Previous experience in project coordination, project administration, operations, customer success, or a related role.
  • Interest in Artificial Intelligence and emerging technologies.
  • Experience working with enterprise clients or professional services teams.
