The Associate Gift Planning Officer position exists to serve as a donor service and gift administration specialist within the Planned Giving department. This position supports donors, professional advisors, and internal stakeholders through the administration of estate gifts, charitable gift annuities, IRA charitable distributions, stock gifts, and other non-cash gift arrangements. The role is responsible for donor communication, gift processing, stewardship, reporting, and maintaining accurate records while educating donors on charitable gift planning tools and opportunities. The position works closely with the Gift Planning Officer to ensure gifts are administered accurately and efficiently. Essential Duties/Responsibilities:
The Focus on the Family Planned Giving department oversees four major gift categories along with the administration and processing of all non-cash gifts. This position will assist the Gift Planning Officer in the following areas:
Wills & Bequests:
Encourages and assists donors in establishing legacy gifts through their estate plans. Coordinates the administration of bequest and estate gifts, including documentation review, estate notifications, and gift realization. Maintains accurate records and tracking for estate commitments, notifications, and realized bequests.
IRA, Securities, and Non-Cash Gifts:
Administers IRA Qualified Charitable Distributions, stock gifts, and other non-cash assets, serving as a resource to donors and internal and external partners throughout the gift process.
Maintains accurate documentation, reporting, and activity tracking for all non-cash gift transactions.
Gifts of Business Interests or Real Estate:
Maintains knowledge of complex asset gifts including business interests and real estate.
Responds to donor inquiries and facilitates referrals to the Gift Planning Officer for evaluation and gift design as needed.
Assists with administrative follow-up and documentation related to accepted gifts.
Charitable Gift Annuities:
Serves as the primary point of contact for charitable gift annuity inquiries, preparing illustrations, donor materials, and follow-up communications.
Coordinates charitable gift annuity administration from initial inquiry through contract completion, including agreements and supporting documentation.
Facilitates annuity payment processing, stewardship, recordkeeping, and ongoing service to annuitants.
Coordinates charitable gift annuity contract closures, including required documentation, final tax reporting, and record updates.
General Responsibilities:
Develops and maintains advanced knowledge of taxation, valuation, and planned giving concepts involving outright and deferred gifts.
Assists with charitable gift planning consultations by preparing illustrations, proposals, and supporting materials for donors and professional advisors.
Provides exceptional donor service by building relationships, responding to inquiries, and guiding donors through the charitable gift planning process.
Communicates with attorneys, executors, trustees, financial advisors, and other professionals regarding gift planning, administration, and stewardship activities.
Maintains a high degree of accuracy and data integrity within CRM and gift administration systems.
Prepares reports, tracks activity, completes special projects, and maintains knowledge of Focus on the Family's programs, priorities, and funding opportunities.

Knowledge/Experience:
Bachelor’s degree in Business, Nonprofit, Accounting, or Finance preferred.
2-4 years of experience in planned giving, donor services, gift administration, financial services, trust administration, estate administration, or a related field preferred.
Experience providing exceptional donor, client, or customer service.
Experience maintaining accurate records and utilizing Salesforce or other CRM/database systems.
