About The Role Reporting to the Senior Director of Administration, OGC is seeking four (4) highly organized and detail-oriented Paralegals to provide substantive legal and operational support to attorneys advising divisions, bureaus, and programs within the NYC Department of Health. The Paralegal will be assigned to legal affairs and work directly with the Employment Law Unit, Privacy Unit, AOT, Contracts Unit or the Advisory Group to assist with the coordination of legal matters, including case and matter intake, legal research and writing, document preparation and review, records management, contract and agreement processing, and tracking of legal deadlines and deliverables. The position requires the ability to manage multiple priorities in a fast-paced public-sector legal environment, exercise sound judgment when handling confidential and sensitive information, and work collaboratively with attorneys, agency leadership, program staff, and other government offices. The paralegal will support efficient, consistent legal operations and help ensure legal matters are properly documented, tracked, and resolved. About the Program The Office of General Counsel (OGC) provides legal advice and assistance to the entire agency. Specifically, OGC works to ensure that the innovative programs and initiatives of DOHMH are supported by a dedicated legal team. The OGC team is comprised of attorneys who work in a variety of areas including legal affairs (legal and policy analysis; health code enforcement; records access), contracts, privacy, and employment law. OGC also houses the Institutional Review Board and attorneys working in the Assisted Outpatient Treatment (AOT) program. Responsibilities
Provide substantive paralegal support to attorneys across a range of legal matters, including litigation, contracts, regulatory and policy matters, investigations, compliance, and agency operations. Prepare, organize, and maintain legal documents, correspondence, memoranda, exhibits, pleadings, agreements, and other materials under attorney supervision. Assist with case and matter intake, including gathering relevant information, identifying required documentation, establishing files, and entering and maintaining matter information in city systems. Track legal matters, deadlines, assignments, requests, and deliverables to support timely completion of legal work. Support the preparation, processing and tracking of contracts, data use agreements, memoranda of understanding, and other legal agreements. Assist with Freedom of Information Law (FOIL) requests and other records-related matters, including identifying, collecting, organizing, and reviewing responsive records under attorney direction. Receive process and distribute legal documents through service of process and assist with the distribution or mailing of legal documents. Prepare summaries, chronologies, indexes, spreadsheets, status reports, and other work products to assist attorneys in analyzing and managing matters. Assist with litigation and administrative proceedings by maintaining calendars and coordinating filings and other deadlines. Monitor the status of assigned matters and proactively identify outstanding items, approaching deadlines, or issues requiring attorney attention. Support agency-wide legal projects, as assigned. Handle confidential, privileged, sensitive, and protected information with a high degree of discretion and professionalism. Perform other related duties and special projects, as assigned.
Requirements
Bachelor's degree from an accredited college or university and relevant paralegal experience; or an equivalent combination of education and experience. Paralegal certificate or formal paralegal training preferred. Experience providing substantive support in a law firm, corporate legal department, government legal office, nonprofit organization, or other legal environment preferred. Demonstrated ability to conduct legal and factual research and organize complex information Strong written and verbal communication skills. Excellent organizational skills and attention to detail, with the ability to manage multiple assignments and competing deadlines. Ability to work independently while exercising appropriate judgment regarding matters requiring attorney review or escalation. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams; experience with Adobe Acrobat and legal case or document management systems preferred. Ability to maintain confidentiality and appropriately handle sensitive and privileged information. Interest in public service and the legal and policy issues affecting government agencies and the communities they serve.
