  • Maintain accurate and organized electronic and physical project files.
  • Assist project managers with administrative tasks, project correspondence, document tracking, and scheduling coordination.
  • Monitor outstanding documentation and deadlines to help keep projects moving efficiently.

Accounting & Vendor Coordination

  • Coordinate with accounting and project management teams to support invoice processing, billing documentation, and accounts payable activities.
  • Assist with reviewing project paperwork for accuracy and completeness before submission for approval or payment.
  • Communicate with subcontractors, vendors, and internal departments to resolve documentation discrepancies and obtain missing information.

General Administrative Support

  • Provide day-to-day administrative support to construction leadership and project teams.
  • Maintain organized records and tracking systems to ensure information is readily accessible.
  • Identify opportunities to improve administrative processes, organization, and workflow efficiency.
  • Perform additional administrative duties as needed to support construction operations.

QUALIFICATIONS

  • Previous administrative experience in the construction industry strongly preferred.
  • Working knowledge of construction contracts, certificates of insurance, preliminary lien notices, purchase orders, and change orders.
  • Exceptional organizational skills with strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Ability to manage multiple projects and competing priorities while consistently meeting deadlines.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
