The posting

You are highly organized, proactive, and thrive in a fast-paced environment. You anticipate needs, exercise sound judgment, and handle confidential information with discretion. You can manage competing priorities, build strong relationships across the organization, and help C-suite executives and senior leaders operate efficiently and effectively.

Reporting to the CEO, you will provide direct executive support to the CEO and the North American C-suite leadership team including the Chief Marketing & Revenue Officer and Chief Financial Officer. This role is based in New York and follows a hybrid work model, with an onsite presence as required/needed. Flexibility outside standard work hours is required to support a global executive team across time zones.

Your Next Challenge :

  • Coordinate complex calendars, domestic and international travel, leadership and Board meetings, events, and related logistics for multiple executives. Provide responsive support as needed outside standard business hours to accommodate executive time zone differences, executive travel, and critical business needs.
  • Prepare executive meeting agendas, briefing materials, presentations, and other business documents.
  • Collect, organize, and prepare information for executive meetings, leadership discussions, and external engagements.
  • Track action items and ensure timely follow-through on key decisions and commitments.
  • Serve as a key point of coordination between executives, employees, customers, partners, board members, and other external stakeholders.
  • Handle highly confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Build a strong understanding of company priorities, operations, and key stakeholder relationships to anticipate executive needs, proactively identify priorities, and improve effectiveness.
  • Prepare expense reports, correspondence, and other business documents.
  • Partner with executives and cross-functional teams to improve efficiency, alignment, and execution.
  • Exercise independent judgment to prioritize requests, resolve issues, and ensure critical business matters are addressed effectively.
  • Leverage AI and other productivity tools to increase efficiency, improve quality, streamline workflows, and enhance executive support.
  • Complete special projects and administrative initiatives as needed.

What You'll Need:

  • 5+ years of executive support experience, preferably supporting senior executives or C-suite leaders.
  • Exceptional organizational, time management, and communication skills.
  • Ability to manage multiple priorities with accuracy, attention to detail, and a high degree of responsiveness.
  • Ability to provide support outside standard business hours as needed, including occasional evenings, weekends, and travel-related coordination, to support a global executive team.
  • Demonstrated executive presence and the ability to interact professionally with senior executives, customers, partners, board members, vendors, and other external stakeholders, while exercising the highest levels of professionalism, discretion, integrity, and accountability.
  • Strong problem-solving skills, sound judgment, and a proactive approach to work.
  • Demonstrated ability to navigate ambiguity, exercise independent decision-making, and manage sensitive matters with discretion.
  • Advanced proficiency with Microsoft Office and collaboration tools, including Outlook, Word, Excel, PowerPoint, SharePoint, and Slack.
  • Strong experience using business systems that support executive operations, including travel, expense, and financial management platforms such as Concur.
  • Demonstrated ability to effectively leverage AI tools to increase efficiency, improve productivity, streamline administrative processes, enhance communication, and support executive effectiveness.
  • Flexibility to support changing business needs and priorities.
