The role:

GFL Environmental is seeking an experienced Refinery Maintenance Planner / Scheduler proficient in CMMS (SAP PM / Maximo), Primavera P6, and Turnaround (TAR) execution. The Maintenance Planner/Coordinator is responsible for planning, scheduling, and coordinating maintenance work across the refinery, tank farm, and the facility overall so that mechanical, electrical, and instrumentation work is executed safely, efficiently, and with the right parts, permits, and labor in place before work begins. This role converts work requests into complete, field-verified job packages, builds and manages the weekly maintenance schedule with Operations, owns materials and parts procurement for planned work, and serves as a key support member of the

turnaround (TAR) planning team. This is an individual-contributor role with no direct reports. This is an exempt, salaried position; the role is expected to work the hours necessary — including extended hours during turnarounds,

upsets, and major emergent work — to meet operational demands.

Key Responsibilities:

  • Work Order Planning & Job Packages: Review and prioritize CMMS work requests, develop comprehensive job packages with detailed scopes and labor estimates, conduct field walkdowns, and manage the work order backlog.
  • Scheduling & Coordination: Build and publish weekly/daily maintenance schedules, coordinate equipment availability with Operations, manage contractor/vendor work, and track schedule compliance.
  • Materials & Procurement: Source and order parts, expedite open orders, stage materials, maintain inventory stock levels, and verify incoming materials meet specifications.
  • Turnaround (TAR) Planning Support: Assist with TAR scope development, detailed job plans, schedules, critical path tracking, contractor resources, and completion verifications.
  • CMMS, Records & Reporting: Administer the CMMS database, ensure accurate work order closeouts with failure codes, maintain PSM and mechanical integrity documentation, and produce maintenance KPIs.
  • Safety & Compliance: Ensure all planned work aligns with PSM, MOC, LOTO, and EHS requirements, participate in JSAs/JHAs, and support incident investigations and corrective actions.
  • Acting Coverage: Backfill the Facilities Maintenance Manager during absences, participate in the on-call rotation for after-hours escalations, direct daily maintenance work while acting, and assist with hiring/investigations without direct personnel authority.

Knowledge, Technical Skills and Competencies:

  • Working knowledge of regulatory compliance requirements, including OSHA and EPA.
  • Working knowledge of PSM, MOC, and mechanical integrity in a refinery setting.
  • Strong CMMS proficiency (e.g., SAP PM, Maximo, or equivalent), including work order, PM, and materials
  • functions.
  • Working knowledge of refinery mechanical, electrical, and instrumentation equipment (pumps, compressors,
  • heat exchangers, vessels, valves, motors, and control instrumentation).
  • Ability to read P&IDs, mechanical/electrical drawings, isometrics, and equipment specifications.
  • Ability to accurately estimate labor, materials, and duration and build realistic schedules.
  • Proficiency with scheduling software (e.g., Primavera P6, MS Project) and Microsoft Excel.
  • Highly organized and detail-oriented; able to manage multiple priorities and shifting schedules.
  • Effective communicator across Operations, Maintenance, EHS, Engineering, and vendors.

Qualifications and Requirements:

  • Education / Degree / Licensing / Certifications (as required): High school diploma or GED required; Associate’s or Bachelor’s degree in a technical field preferred; equivalent combination of trade certification/military technical training and experience will be considered in lieu of degree.
  • Minimum Years of Relevant Experience: 3+ years of experience in a refinery, petrochemical, or heavy industrial environment, preferably in maintenance; candidates with Operations or other plant experience will be considered. Maintenance planning, scheduling, or coordination experience preferred.
  • Specific Requirements: Turnaround (TAR) experience (planning or execution) required; working knowledge of and hands-on experience using a CMMS (work orders, notifications, PM work) and understanding of the PM process, including equipment preparation and handback, required; CMRP, CMRT, or maintenance planning & scheduling certification preferred; OSHA 30-Hour General Industry preferred; HAZWOPER24/40-hour preferred, not required.
  • Other or Preferred (as applicable): Hands-on craft background (mechanical, electrical, or I&E) strongly preferred; Primavera P6 or MS Project experience a plus; purchasing/inventory experience a plus.

Working Conditions & Travel:

  • Combination of office and field work; daily field walkdowns in an industrial refinery environment with exposure to noise, heat, weather, and chemicals.
  • Field based; participates in the management on-call rotation and is available for emergency callout and extended hours during upsets, emergent work, and turnarounds.
  • PPE required: FR long sleeve shirt and pants, safety boots, safety helmet, gloves, safety goggles or glasses.
  • Minimal; occasional travel for training, vendor visits, or meetings may be required.

What We Offer:

  • 3 weeks PTO annually
  • 4 medical plan options including an HSA with employer contribution, dental, and vision coverage.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
