The ideal candidate will provide professional, empathetic patient support in both English and Spanish, manage inbound and outbound calls, coordinate patient communications, and assist with essential clinical administrative tasks.

This role requires strong bilingual communication skills, experience supporting U.S. healthcare practices, and the ability to work collaboratively with other Virtual Medical Assistants and on-site clinic staff.

Key Responsibilities

  • Provide empathetic, accurate, and professional communication while maintaining high patient service standards.

2. Clinical Administrative Support

  • Monitor and manage patient messages, staff queues, and administrative workflows within the Electronic Medical Record (EMR) system.
  • Coordinate patient referrals, communicate with referring providers, and assist with specialist appointment scheduling.
  • Process medical records requests and support insurance verification and prior authorization workflows as assigned.

3. Team Collaboration & Workflow Management

  • Coordinate with clinic supervisors, medical staff, Billing, and Chronic Care Management (CCM) departments.
  • Collaborate with other VMAs to manage high call volumes, ensure timely follow-ups, and maintain consistent patient coverage.
  • Assist in documenting and improving standard operating procedures (SOPs) to support efficient clinic operations.

Required Qualifications

  • Bilingual Proficiency: Strong verbal and written communication skills in both Spanish and English.
  • Healthcare Experience: Minimum of 1 year of experience as a Virtual Medical Assistant supporting U.S.-based healthcare practices.
  • Administrative Skills: Hands-on experience with patient calls, appointment scheduling, EMR documentation, and clinical administrative workflows.
  • Communication: Excellent interpersonal skills, professional phone etiquette, and the ability to communicate empathetically with patients.
  • Compliance: Active HIPAA certification or willingness to complete a new certification before the first working day.
  • Remote Work Readiness: Ability to work independently, multitask, prioritize responsibilities, and collaborate with a remote healthcare team.

Preferred Qualifications

  • Previous experience using AthenaHealth EMR.
  • Background in pulmonology or other specialty outpatient medical practices.
  • Experience handling insurance verification, prior authorizations, referral coordination, and medical records requests.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
