The role requires strong organizational, project management, and leadership skills to ensure seamless operations and strategic collaboration across multiple teams including HQ and field functions. Serving as a key operational partner to the Vaccines marketing organization, this individual will embed compliance into planning and execution and drive the ethical, compliant, efficient, and high-quality delivery of external engagement activities that build awareness and support the success of our vaccine’s portfolio.

You will report directly to the Sr. Director of Marketing Operations and Supply.

Key activities:

Speaker Programs Operational Leadership

  • Lead the end-to-end operational execution of speaker programs—from planning, speaker nomination, eligibility verification, and approvals through delivery, reconciliation, documentation, and close-out—in accordance with company policies and applicable requirements.
  • Manage speaker program budgets, spend tracking, and financial controls, ensuring accurate documentation, appropriate approvals, fair-market-value alignment, and timely reconciliation.
  • Oversee speaker contracting, onboarding, training, and utilization in partnership with marketing, HCP engagement, legal, and compliance, including verification of required approvals and documentation.
  • Establish and monitor key performance and compliance indicators to assess program effectiveness, attendance, operational efficiency, policy adherence, and potential trends or exceptions, and recommend improvements.
  • Develop and maintain approved standard operating procedures, controls, timelines, and tools to drive consistent, scalable, and compliant execution across programs.

Strategic Collaboration and Compliance

  • Partner proactively with Vaccines brand marketers (including customer channels), sales leadership, medical affairs, legal, privacy, and compliance to translate brand strategies into operational plans that incorporate required reviews, approvals, controls, and documentation for external engagements.
  • Ensure all speaker programs and congress activities comply with company policies and procedures, industry codes, applicable laws and regulations, transparency reporting obligations, privacy requirements, and approved promotional and scientific exchange standards.
  • Serve as the operational point of contact for cross-functional teams, facilitating alignment on priorities, timelines, deliverables, compliance requirements, review pathways, and approval status.
  • Provide operational and compliance insights and recommendations to inform brand planning, resource allocation, control enhancements, and continuous improvement.

Congress Operations Leadership

  • Lead compliant operational planning and execution for national and regional medical congresses, including booth presence, exhibit logistics, staffing, required approvals, and use of approved materials.
  • Develop and manage the annual congress calendar, budgets, timelines, and required review and approval milestones in alignment with brand priorities and company controls.
  • Coordinate registrations, housing, shipping, booth design and build, on-site logistics, and HCP interactions with internal teams and external partners, ensuring appropriate documentation and adherence to applicable policies.
  • Ensure congress activities are executed on time, on budget, and in accordance with congress guidelines, company policies, applicable laws, privacy requirements, expense controls, and approved promotional standards.
  • Conduct documented post-congress evaluations to capture learnings, assess compliance and operational performance, identify exceptions, and drive corrective actions and continuous improvement.

Field and Vendor Management

  • Act as the primary liaison between the field sales organization and operations teams, addressing questions, reinforcing compliant practices, and supporting appropriate use of speaker program and congress resources.
  • Manage relationships with external vendors and agencies, including speaker bureaus, logistics providers, and exhibit partners, ensuring completion of required due diligence, onboarding, training, and ongoing compliance monitoring.
  • Oversee vendor scopes of work, contracts, purchase orders, invoicing, data-handling requirements, documentation, and performance against service-level agreements and compliance obligations; escalate suspected or confirmed issues promptly.

Training and Development

  • Develop, deliver, and document role-based training for field sales, marketers, vendors, and other stakeholders on speaker program and congress processes, systems, company policies, compliance requirements, and escalation pathways.
  • Foster a culture of integrity, accountability, and continuous learning by sharing approved best practices, reinforcing speak-up expectations, and applying lessons learned across teams.

Risk Mitigation and Issue Management

  • Proactively identify, assess, document, and monitor operational, compliance, privacy, financial, and logistical risks associated with speaker programs and congresses, and implement proportionate mitigation and control plans.
  • Serve as the escalation point for program and congress issues, ensuring timely triage, appropriate notification to legal and compliance partners, documented decisions, and clear stakeholder communication.
  • Monitor, document, and investigate program exceptions, suspected policy violations, or control deviations, partnering with legal and compliance to determine root causes and implement timely corrective and preventive actions.
  • Support audits, monitoring, transparency reporting, and regulatory inquiries by maintaining complete, accurate, timely, and inspection-ready records in accordance with retention requirements.

Why You?

Basic Qualifications:

  • Bachelor's degree
  • 7-8 years of experience in marketing, operations, event management, budget management, sales, and project management (i.e., stakeholder management, timeline accountability and prioritization with internal and external teams)

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
