SUMMARY Step into the fast-paced world of full-service events this peak season as an Event Management Intern at Grand Traverse Resort & Spa! Running from May through November 2027, this hands-on role is designed for a creative, organized self-starter who thrives independently and is driven to succeed. Working side-by-side with our Wedding Service Manager, you will help plan, execute, and lead memorable experiences—acting as a vital liaison for weddings, receptions, charity galas, and small business markets. From coordinating client sales and service to executing the visual magic of floral design, table décor, and entertainment setup, you will gain comprehensive, real-world industry experience during our busiest time of the year. ESSENTIAL DUTIES AND RESPONSIBILITIES
Plan, up-sell and detail the meeting/function with the client including: space requirements, times, equipment, menus, themes/decorations, etc. Prepare contracts and the appropriate paperwork, coordinate with the appropriate areas in the hotel, resolve customer issues, complaints and problems to ensure quality product delivery and customer satisfaction Gain knowledge on how to create Banquet Event Orders Assist in setting up any specialty décor for weddings, dinners, or corporate events Maintain up-to-date knowledge of corporate/hotel procedures and products and the competition's product, strengths and weaknesses to continually improve sales strategies and the achievement of goals Possess ability to think outside the box and enjoy meeting new people through networking within the local community Due to the nature of this position Saturdays, Sundays, and possible holidays are required Work successfully in a fast-paced environment with the ability to multi-task Be able to assist with site visits and client meetings Generate contracts and creative proposals to meet customer needs at the direction of Manager Provide personal attention to clients while they are at the hotel to ensure total guest satisfaction Develop relationships with local vendors for décor, transportation, tours, entertainment, etc. Maintain accuracy of Catering information Must understand and abide by environmental practices of the resort Other duties as assigned
EDUCATION/EXPERIENCE
Relevant experience or experience with customer service who is passionate about the Hospitality Industry MUST BE currently enrolled at a University, College or Community College and receive college credit for the Internship Candidate must be able to demonstrate a strong working knowledge in their field, with prior experience with managing and coordinating events
ADDITIONAL INTERNSHIP RESPONSIBILITIES
Attend bi-weekly intern meetings and committee meetings Complete internship projects Work a flexible schedule, 30-40+ hours per week
OTHER SKILLS AND ABILITIES
Experience in internet research and database mining Track record of developing long term relationships Ability to quickly evaluate alternatives and decide on a plan of action Clear, concise written and verbal communication skills Knowledge of various cultural social events including, but not limited to weddings, Bar and Bat Mitzvahs and fraternal organization meetings Working knowledge of MS Word, Excel and Outlook Ability to work a flexible schedule including weekends Business determines the amount of hours worked and overtime may be required Excellent computer and verbal skills
TYPICAL PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to stand, walk, and talk or hear. The employee is occasionally required to reach with hands and arms; stoop, kneel, crouch, or crawl; and taste or smell. Must be able to lift at least 35lbs. TYPICAL MENTAL DEMANDS Include deadlines, difficult conversations, unexpected demands, critical decision making. WORKING CONDITIONS Working conditions includes Office, and Outdoor Environment. Loud noises are common. Must be able to work flexible hours including days, evenings, weekends and holidays.
