The posting

Job Overview

  • Worksite Location: Houston, Texas (On-Site) | Travel: 0-5% Local/Domestic
  • Summary: The Office & Administrative Manager owns the day-to-day operations of the Houston office, ensuring a safe, organized, welcoming, and well-supported workplace for HighRadians. This role manages workplace services, facilities and vendors, office needs, safety and preparedness activities, and onsite operational initiatives. The role also provides Executive Assistant support to an assigned stakeholder(s) and flexible administrative support across the various areas of responsibility and the broader People & Culture (P&C) team. In addition, this position owns designated workplace and employee events and partners with team members on larger company events and initiatives.
  • Success in this role requires someone who can understand a desired outcome, assess what is needed and the potential impact, develop a practical recommendation, align with stakeholders, and execute through completion. All services should reflect high standards, with a focus on ownership, responsiveness, and making it easy for employees to get the support they need.

Office & Workplace Operations

  • Own day-to-day Houston office operations, ensuring the workplace remains functional, organized, appropriately stocked, and ready to support employees and business needs.
  • Manage recurring workplace services and coordinate with building management and vendors on facilities, maintenance, cleaning, office services, and other operational needs, following issues through resolution.
  • Manage day-to-day vendor relationships, monitor service quality, coordinate invoices and expenses as appropriate, and identify practical, cost-effective solutions.
  • Coordinate office projects and changes, including workspace and seating needs, moves, vendor projects, and other onsite initiatives from planning through execution.
  • Coordinate workplace safety, security, and emergency preparedness activities, maintaining appropriate procedures, documentation, and readiness.
  • Monitor how workplace services are operating and implement improvements when processes create unnecessary delays, rework, or friction for employees.

Events & Engagement

  • Own assigned workplace and employee events from planning through execution, including timelines, vendors, logistics, communications, and onsite coordination.
  • Partner with P&C and cross-functional team members on other larger company events and initiatives, providing planning, administrative, logistical, and onsite support based on the needs of the event.
  • Anticipate event and onsite needs, coordinate the appropriate resources, and help deliver organized and engaging experiences for employees.

Executive & Administrative Support

  • Provide Executive Assistant support to an assigned stakeholder(s), including calendar and travel & expense management.
  • Provide administrative support across the stakeholder's areas of responsibility by assisting with projects, events, communications, documentation, and follow-up activities.
  • Provide flexible administrative and project support to the P&C team as business needs require.

Qualifications & Experience

  • Experience in a fast-paced, service-oriented environment such as workplace operations, office administration, hospitality, restaurant management, hotel operations, events, retail management, or a related field.
  • Demonstrated experience coordinating people, vendors, schedules, services, events, or day-to-day operations.
  • Strong organization and ability to manage multiple priorities while maintaining attention to detail.
  • Proficiency with or ability to quickly learn Google Workspace and other workplace and business systems.
  • Ability to work onsite in the Houston office Monday through Friday, with occasional flexibility outside standard business hours for events or workplace needs.

Physical Requirements

  • Regular movement throughout the office, including standing, walking, bending, reaching, and other activity associated with workplace operations and events.
  • Ability to occasionally lift, carry, or move office supplies, packages, and similar items weighing up to 20 pounds.

What We’re Looking For

  • Service-minded: Naturally looks for ways to make things easier for others and delivers a high level of service consistent with dotONE standards.
  • Thinker and doer: Can take a desired outcome, think through what is needed, consider potential impacts and options, recommend an approach, and then execute it.
  • Ownership mentality: Takes responsibility for getting something to completion rather than simply completing their portion and passing it along.
  • Resourceful: Comfortable figuring things out, asking the right questions, finding solutions, and knowing when to bring forward a recommendation or escalate an issue.
  • Proactive: Notices what needs attention and acts before it becomes a problem.
  • Organized and adaptable: Can move between office operations, an executive request, an employee need, and an event without losing track of priorities.
  • Employee-centric: Considers the employee experience when designing or executing a process and avoids creating unnecessary steps or work for employees.

Perks & Benefits:

  • Performance-based bonus or commission (for eligible roles)
  • Competitive benefits, 401 (k) matching plan, and wellness resources
  • Chance to earn stock options for top performers
  • Paid parental leave
  • Paid company & flex holidays
  • ZINGy environment: quarterly events, team outings, and MORE!

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
