Executive Assistant, Technology & Innovation 1 Full-time, Term position (18 months)   Is This Role for You? Reporting directly to the Chief Technology Officer, the Executive Assistant is responsible for providing senior support on all matters of corporate administration, including those of a confidential nature, with direct responsibility for the efficiency and operation of the CTO. In addition to providing high-level executive and administrative support, this role has a strong emphasis on communications, stakeholder relations, and executive-level presentation development. This position is a partner to the Strategic Business Unit and also represents the organization in dealing with key stakeholders at the most senior level and contributes to the development and maintenance of business relationships with both internal and external stakeholders. Key Responsibilities Executive & Administrative Support

Manage and coordinate complex executive calendars, including meetings with senior leaders and external partners, proactively resolving conflicts and prioritizing time. Proactively anticipate, identify, and address emerging issues that could impact the CTO’s priorities or stakeholder commitments. Screen, prioritize, and respond to incoming correspondence, meeting requests, and inquiries with professionalism and discretion. Handle sensitive and confidential information with a high degree of judgment and integrity.

Communications & Presentation Development

Develop, edit, and format high-quality presentations, briefing notes, decks, and materials for executive leadership, Board presentations, briefings and external engagements. Support the development of clear, compelling narratives that translate complex strategies, initiatives, and business cases into accessible and visually effective materials. Assist with drafting correspondence, speaking notes, and briefing materials aligned with EA’s strategic priorities and brand positioning.

Portfolio & Team Support

Assist with research, reports, events, and special projects related to technology & innovation. Track action items, decisions, and commitments to support execution and accountability across the portfolio. Develop and maintain strong working relationships with executives, team members, and key partners across the organization. Support executive operations as part of an integrated EA team, with direct mentorship from the Executive Assistant to the CEO’s Office.

Qualifications

6+ years of experience supporting senior executives in a large, complex corporate or public-sector organization. Completion of a multi-year post-secondary program in advanced secretarial, office administration, Business Management, or a related field; an undergraduate degree is an asset. Exceptional written and verbal communication skills, with demonstrated experience preparing executive-level presentations and briefing materials. Strong organizational, time-management, and multitasking skills with the ability to manage shifting priorities and tight deadlines. High level of discretion, professionalism, and client-service orientation. Strong business acumen and understanding of organizational strategy and governance environments. Tech-savvy, with proficiency in Microsoft Office Suite (especially Outlook & PowerPoint), CRM platforms, Adobe, DocuSign, and SAP Concur. Ability to work independently while contributing effectively within a collaborative team environment. Proven ability to capture key discussions, decisions, and action items and produce clear, accurate meeting minutes. Ability to work on-site and successfully complete a security clearance and criminal record check.

Principales responsabilités Assistance administrative et de direction

Gérer et coordonner des agendas de direction complexes, notamment les réunions avec la haute direction et les partenaires externes, résoudre les conflits de manière proactive et établir les priorités en matière de gestion du temps. Anticiper les problèmes émergents susceptibles d’avoir une incidence sur les priorités de la direction principale ou sur les engagements pris envers les parties prenantes afin de déterminer et de résoudre de manière proactive ces problèmes. Trier et classer par ordre de priorité la correspondance, les demandes de réunion et les demandes de renseignements, puis y répondre avec professionnalisme et discrétion. Traiter les renseignements personnels et confidentiels avec discernement et intégrité.

Communication et préparation de présentations

Élaborer, réviser et mettre en page des présentations, des documents d’information, des dossiers et des ressources de haute qualité destinés à la haute direction, aux réunions du conseil d’administration, aux séances d’information et aux activités externes. Contribuer à l’élaboration de messages clairs et convaincants qui traduisent des stratégies, des projets et des analyses de rentabilité complexes, le tout en formats accessibles et visuellement efficaces. Aider à la rédaction de correspondance, de discours et de documents d’information conformes aux priorités stratégiques et au positionnement de marque d’AE.

Assistance aux membres de l’équipe et à ses activités

Participer à la recherche, à la rédaction de rapports, à l’organisation d’événements et à la mise en œuvre de projets spécifiques liés à la technologie et à l’innovation. Assurer le suivi des mesures, des décisions et des engagements afin d’en faciliter la mise en œuvre et de veiller à la responsabilisation de l’équipe envers toutes les activités. Tisser et entretenir de solides relations de travail avec la direction, les membres de l’équipe et les partenaires clés au sein de l’organisme. Appuyer les activités de la direction au sein d’une équipe intégrée de personnel adjoint de direction, sous la supervision directe de la personne responsable de l’assistance à la direction générale.

Qualifications

Au moins six ans d’expérience en assistance de direction au sein d’un organisme complexe de grande envergure, privé ou public Formation postsecondaire de plusieurs années dans les domaines du secrétariat professionnel, de l’administration de bureau, de la gestion d’entreprise ou dans un domaine connexe; diplôme de premier cycle comme atout Excellentes compétences en communication écrite et orale, avec une expérience reconnue en préparation de présentations et de documents d’information destinés à la haute direction Excellentes compétences en matière d’organisation et de gestion du temps, capacité à mener parallèlement plusieurs tâches ainsi qu’à s’adapter à des priorités changeantes et à respecter des délais serrés Souci de la de la discrétion, du professionnalisme et orientation vers le service à la clientèle Sens aigu des affaires et bonne compréhension de la stratégie organisationnelle et des contextes de gouvernance Maîtrise de la technologie, notamment de la suite Microsoft Office (en particulier Outlook et PowerPoint), des plateformes CRM, d’Adobe, de DocuSign et de SAP Concur Capacité à travailler de manière autonome et à contribuer efficacement à une équipe de travail collaborative Capacité démontrée à synthétiser les discussions, les décisions et les mesures clés ainsi qu’à rédiger des comptes rendus de réunion clairs et précis Capacité à travailler en présentiel et à satisfaire aux exigences d’une habilitation de sécurité et d’une vérification du casier judiciaire
