POSITION SUMMARY The Inventory Specialist is responsible for maintaining the accuracy, integrity, and organization of warehouse inventory. This position serves as a key point of control between warehouse operations, Inventory & Logistics team, and Procurement team to ensure system inventory accurately reflects physical inventory and appropriate stock levels are maintained. The Inventory Specialist proactively identifies inventory discrepancies, investigates root causes, coordinates corrective actions, and recommends process improvements to prevent recurring issues. This role is expected to promote safe work practices, operational discipline, and accountability throughout the warehouse. CORE COMPENTENCIES Successful performance in this role requires strong attention to detail, analytical and problem-solving skills, ERP/WMS proficiency, organizational discipline, effective communication, and the ability to work collaboratively across Warehouse Operations, Inventory & Logistics, and Procurement. The Inventory Specialist should demonstrate ownership of inventory accuracy and proactively identify opportunities to improve inventory controls and warehouse processes. KEY RESPONSIBILITIES
Safety & Team CollaborationCommunicate effectively and work collaboratively with the entire warehouse team while maintaining a helpful, professional, safe, and efficient working environment. Promote and follow all established safety policies and procedures.
Inventory Accuracy & ControlManage and verify warehouse inventory to ensure physical stock quantities, locations, and statuses accurately align with ERP/WMS records. Investigate and resolve discrepancies in a timely manner.
Cycle Count ProgramPerform and document scheduled and targeted cycle counts throughout the year. Research discrepancies, process authorized inventory adjustments, maintain appropriate supporting documentation, and ensure counting activities follow established procedures, regulatory requirements, and inventory-control best practices.
Inventory Level ManagementCoordinate closely with the Inventory & Logistics team and Procurement team to maintain appropriate stock levels. Review inventory usage and min/max thresholds, identify potential shortages or excess inventory, and recommend adjustments when appropriate.
Inventory AdjustmentsReview and manage the inventory adjustment portal daily. Validate adjustment requests, research discrepancies as necessary, ensure appropriate documentation is maintained, and complete approved adjustments to preserve inventory accuracy.
SOPs & ComplianceAssist in developing, maintaining, and improving inventory-control SOPs and work instructions. Provide guidance and training to warehouse personnel on inventory transactions, material movement, cycle-count procedures, and inventory-control best practices.
Discrepancy Investigation & Root-Cause AnalysisInvestigate inventory errors and discrepancies to determine root causes. Identify trends or recurring issues, communicate findings to the Warehouse Manager, recommend corrective actions, and assist with implementing solutions designed to prevent recurrence.
Operational CoverageProvide coverage and operational support for other department supervisors as assigned to help maintain continuity of warehouse operations.
Document ManagementAssist with the accurate and timely electronic filing and organization of packing slips, Bills of Lading (BOLs), pick tickets, and other inventory or shipping documentation.
Bin ManagementReview, reconcile, and resolve inventory assigned to designated bins at least monthly. Research aging or incorrect transactions and coordinate corrective actions to ensure inventory is assigned to the appropriate location and status.
AREAS OF ACCOUNTABILITY The Inventory Specialist will be accountable for maintaining:
High levels of inventory accuracy between physical inventory and ERP/WMS records.
Timely completion of cycle counts and discrepancy investigations.
Accurate and properly supported inventory adjustments.
Timely resolution of assigned warehouse bin locations.
Appropriate inventory levels through regular review of min/max settings.
Complete and organized inventory documentation.
Identification and reduction of recurring inventory errors.
Compliance with established safety, inventory-control, and warehouse procedures.
POSITION TYPE/EXPECTED WORK HOURS This is a full-time position with a typical work schedule of Monday through Friday, 9:00 a.m. to 6:00 p.m., however hours may vary. There may be times where there is an expectation to work extended hours as dictated by business needs. This position requires travel for training, special projects, or customer visits.
