Job Purpose
The Accountant will be responsible for supporting the day-to-day accounting and financial operations of a busy fuel and lubricants sales and distribution business. The role will primarily focus on Accounts Receivable, Accounts Payable, reconciliations, financial records, filing, transaction processing and general accounting activities.
The successful candidate must be hands-on, accurate, organised and able to work under pressure, with the ability to manage multiple transactions and deadlines while maintaining proper financial controls and documentation.
Key Responsibilities
• Prepare and maintain customer invoices and supporting documentation.
• Monitor customer accounts, outstanding balances and credit limits.
• Follow up on outstanding customer payments and support collection activities.
• Allocate customer receipts accurately and maintain up-to-date customer ledgers.
• Investigate and resolve discrepancies in customer accounts.
• Prepare accounts receivable ageing reports.
• Verify supplier invoices against purchase orders, delivery notes and other supporting documents.
• Process supplier invoices and prepare payment schedules.
• Maintain accurate supplier ledgers and conduct supplier statement reconciliations.
• Follow up on missing or incomplete supporting documents.
• Perform daily/weekly/monthly bank reconciliations.
• Reconcile cash, customer, supplier and other relevant control accounts.
• Investigate and resolve reconciling items promptly.
• Maintain accurate records of all financial transactions.
• Record and process daily accounting transactions accurately and on time.
• Maintain proper books of accounts and accounting schedules.
• Assist with month-end and year-end closing activities.
• Prepare routine financial reports and schedules as required.
• Support preparation of VAT, withholding tax and other statutory returns.
• Assist with audit requirements and provide requested financial documentation.
• Maintain proper accounting records in accordance with company policies and applicable accounting standards.
• Maintain an organised filing system for invoices, receipts, payment vouchers, delivery notes, bank documents and other accounting records.
• Ensure all transactions have complete and properly approved supporting documentation.
• Maintain both physical and electronic accounting records.
• Retrieve financial documents promptly when required by management, auditors or other departments.
• Support reconciliation of fuel/lubricant sales, deliveries, customer invoices and collections.
• Verify sales and delivery documentation against accounting records.
• Assist in identifying discrepancies between sales, stock movements, deliveries and invoiced amounts.
• Monitor transactions involving multiple customers, branches, delivery points and payment methods.
• Ensure accounting records are updated promptly despite high transaction volumes.
• Support budgeting, cash-flow monitoring and financial reporting activities.
• Assist the Finance Manager with financial analysis and ad hoc accounting assignments.
• Work closely with sales, procurement, stores, logistics and operations teams to resolve accounting-related issues.
• Maintain confidentiality of company and customer financial information.
• Perform any other accounting duties reasonably assigned by management.
Required Qualifications & Experience
• Bachelor’s Degree in Accounting, Finance, Commerce or a related field.
• CPA/ACCA or relevant professional accounting qualification is an added advantage.
• 3–5 years of relevant accounting experience, preferably in trading, fuel, lubricants, distribution, logistics, FMCG or another high-volume business environment.
• Practical experience in Accounts Receivable, Accounts Payable, bank reconciliation and general accounting.
• Experience using accounting software/ERP systems eg SAP, Xero e.t.c
• Strong Excel skills, including working with large volumes of financial data.
• Good understanding of Tanzanian tax and statutory accounting requirements.
Practical Assessment
• Shortlisted candidates will be required to undertake a practical accounting assessment as part of the recruitment process.
• The practical assessment will be used to evaluate the candidate's technical accounting knowledge, accuracy, Excel skills, problem-solving ability.
