The JADA Group of Companies is seeking a Maintenance Control Coordinator to join our team. KEY PERFORMANCE AREAS: Service Interval Tracking • Track vehicle mileage and equipment hours against OEM service intervals for every active asset. • Maintain a service-due register showing last service, next service due and current reading for each unit. • Follow up on missing or out-of-date mileage/hour readings with the Fleet Compliance & Asset Coordinator and Operations. • Flag overdue services to the Workshop Foreman and Parts & Service Operations Manager. Forward Service Planning • Maintain a rolling one-month forward service schedule, updated weekly. • Coordinate upcoming services with the Workshop Foreman, including timing, bay space and technician availability. • Agree release of equipment for servicing with Operations / site supervisors in advance. • Reschedule and re-communicate services when equipment availability or priorities change. Service Parts Coordination • Identify service kit and parts requirements (filters, fluids, belts, wear items) for all scheduled services. • Pass parts requirements to Procurement / Warehouse with enough lead time for parts to be in stock before the service date. • Confirm parts availability ahead of each service and escalate shortages early. Repair-Order Administration • Open, update and close repair orders / job cards in the workshop system. • Make sure labour, parts and comments are fully recorded on each repair order before close-out. • Monitor open repair orders and report on status, age and reasons for delay. • Support accurate cost capture and internal / customer billing from completed repair orders. External Repairs & Warranty • Book and track external repairs, servicing and warranty work with service providers. • Maintain a log of assets away at external providers, with expected return dates, and follow up to close. • Collect and file external service reports, invoices and warranty documentation against the correct asset. Maintenance Records & Reporting • Keep service history and maintenance records current and complete for every asset. • Produce a weekly maintenance-control report: services completed, due, overdue and missed; open repair orders; assets at external providers. • Supply maintenance data to the Workshop Asset Status Report and management reporting. • Suggest changes to service intervals or schedules based on repeat failures or operating conditions. APPLICATION PROCESS: Interested candidates are invited to submit a detailed Curriculum Vitae and two professional references, no later than Friday, 11th October 2026, to [email protected]. Requirements QUALIFICATIONS & EXPERIENCE: • Diploma or associate degree in business administration, logistics, engineering or a related field; or equivalent experience. • Minimum 2–3 years in maintenance planning, workshop administration or fleet service coordination, ideally with heavy equipment or commercial vehicles. • Working knowledge of OEM service intervals and preventative maintenance principles. • Experience with a CMMS, fleet management or workshop system is an advantage. SKILLS & COMPETENCIES: • Strong planning and scheduling ability; able to manage many assets and deadlines at once. • High attention to detail and accuracy in record-keeping. • Proficient in Microsoft Excel and Outlook; comfortable producing reports. • Clear, confident communicator with technicians, Operations and external providers. • Persistent follow-through; takes ownership of outcomes rather than just recording them. • Basic mechanical and parts knowledge to understand service scope.
