Moves and Changes Assistant – MAC | JLL
What this job involves
This is a dynamic, hands-on role that blends reactive problem-solving with proactive planning. You'll focus on three core service areas: workstation fix requests, configurable meeting room management, and furniture lifecycle management. No two days look the same, as the nature of the work shifts constantly to meet the needs of the site.
As a MAC Assistant at JLL, you'll play a vital role in keeping a client's facility or portfolio of properties running smoothly, safely, and efficiently. You'll serve as a key point of contact for building occupants, vendors, and service providers, helping resolve issues quickly and maintain a positive, well-functioning workplace. This role is ideal for someone who is organized, proactive, and genuinely enjoys solving problems before they escalate.
At JLL, we're collectively shaping a brighter way, for our clients, ourselves, and our fellow employees. As a MAC Assistant, you'll be at the heart of that mission, supporting the people and spaces that keep businesses running. You'll work closely with property management, engineering, and vendor teams, and your attention to detail will directly shape the experience of everyone who walks through the building's doors.
What your day-to-day will look like
You'll respond to facility-related service requests, coordinating timely resolution with internal teams or external vendors, and monitor work order systems to track progress, ensure accurate documentation, and follow up on outstanding tasks. Supporting the scheduling and coordination of preventive maintenance activities across building systems will be a regular part of your routine, alongside assisting with vendor management, including scheduling service visits and verifying compliance documentation.
Regular walkthroughs of the facility will help you identify maintenance needs, safety concerns, or opportunities for improvement. You'll also help coordinate space planning, moves, and minor office reconfigurations in partnership with relevant stakeholders, while maintaining accurate records related to facility operations and inspections. Supporting emergency preparedness efforts, including safety audits and incident reporting, is another key responsibility, as is contributing to a welcoming environment by assisting with occupant inquiries and ensuring common areas remain functional and presentable.
Your furniture and workstation-related responsibilities will include:
· Furniture moves – Executing preapproved moves in line with client variables across the portfolio
· People moves – Integrating with project teams to support employee relocations
· Furniture audit and inventory – Proactively auditing and logging furniture inventory across storage spaces
· Furniture management – Conducting repairs and proactive condition checks
· Desktop IT fixes – Providing workstation support across the portfolio
· Room set-up – Configuring meeting rooms across sites
· Planned furniture maintenance – Performing routine checks such as tightening seat bolts in high-use areas
· Repair and replacement – Addressing identified items where feasible and practical
· Furniture subject matter expertise – Serving as the go-to resource for furniture-related questions
· Ad hoc furniture changes – Coordinating unplanned furniture adjustments as needs arise
· Admin support follow-through – Owning customer requests generated from the Admin Support role
· IT escalation point – Acting as the escalation contact for unresolved IT requests
· Desktop IT execution – Completing desktop IT requests end-to-end
Required qualifications
· A good standard of general education, including GCSEs in English and Maths or equivalent qualifications gained in the UK or overseas;
· Driving license
· Willingness to work overtime on an ad hoc basis (weekends and evening)
· Strong organizational skills with the ability to manage multiple priorities and deadlines
· Clear, professional written and verbal communication skills
· Comfort using work order management systems, Microsoft Office, and other basic workplace technology (training will be provided)
· Ability to work both independently and collaboratively as part of a team
· Willingness to walk the facility regularly and respond to on-site needs as they arise
