We are seeking a detail-oriented Change Order Manager to oversee budget development, financial analysis, and contract documentation for clinical research projects. In this role, you will collaborate with project managers, financial analysts, functional leaders, and external stakeholders to ensure change orders accurately reflect evolving project requirements. You will assess changes in assumptions, evaluate their financial impact, and prepare clear, client-ready documentation to support informed decision-making. Your expertise in Excel-based costing, budget analysis, and financial controls will be essential to maintaining accuracy and consistency throughout the project lifecycle. Accountabilities
- Change Order Development: Lead the preparation and coordination of change order budgets in collaboration with project management teams, financial analysts, functional leads, and other relevant stakeholders.
- Budget Analysis and Validation: Review changes in project assumptions, identify information gaps and discrepancies, and translate evolving requirements into accurate and comprehensive financial estimates.
- Financial Impact Assessment: Evaluate how changes in scope, resources, timelines, countries, clinical sites, and patient numbers affect project costs and contractual commitments.
- Client-Ready Documentation: Draft, edit, and customize change order documents to clearly communicate revised assumptions, budget summaries, resource adjustments, and additional financial requirements.
- Financial Accuracy and Quality Control: Validate financial formulas, review calculations, conduct cross-checks, and perform reasonableness testing to ensure the accuracy and integrity of all change order budgets.
- Stakeholder Coordination: Maintain effective communication with internal teams and external stakeholders to facilitate timely information exchange and ensure deliverables meet quality and deadline expectations.
- Change Order Alignment Meetings: Schedule and lead alignment calls with project teams to review proposed changes, resolve discrepancies, and ensure agreement on scope and financial implications.
- Vendor and Partner Coordination: Incorporate vendor and partner change orders into the overall documentation when applicable, ensuring completeness, consistency, and accurate financial representation.
- Tracking and Documentation: Maintain organized records of change order requests, supporting documentation, and budget revisions to facilitate transparency and ongoing project oversight.
- Continuous Improvement: Contribute to improving change order preparation practices, financial controls, and documentation standards while supporting multiple assignments across the organization.
- Education: Bachelor's degree or equivalent qualification in Science, Finance, Accounting, Business, or a related field. An MBA is preferred.
- Relevant Experience: At least five years of experience preparing proposals and/or change orders using Excel-based costing tools, including the preparation of change order and contract documentation.
- Financial and Budgeting Expertise: Strong understanding of project budgets, financial analysis, costing methodologies, and the financial implications of changes in project assumptions.
- Advanced Excel Skills: Excellent proficiency in Microsoft Excel, including complex formulas, financial calculations, data validation, and quality-control techniques. Familiarity with other Microsoft Office applications is also expected.
- Clinical Research Knowledge: Understanding of project lifecycles and how changes in scope, resources, and operational assumptions influence budgets at different stages of a clinical trial. Experience in the Contract Research Organization (CRO) industry is preferred.
- Attention to Detail: Exceptional accuracy and diligence when reviewing financial calculations, contractual documentation, budget assumptions, and supporting information.
- Communication Skills: Strong written and verbal communication abilities, with the confidence to coordinate discussions, explain financial changes, and build productive relationships with colleagues and stakeholders.
- Organization and Multitasking: Ability to manage multiple assignments with varying priorities while maintaining accuracy, meeting deadlines, and adapting to changing requirements.
- Problem-Solving and Analytical Thinking: Strong analytical judgment and the ability to identify discrepancies, investigate issues, and develop practical solutions.
- Collaboration and Independence: A self-motivated professional who can work independently, plan effectively, and contribute positively to a cross-functional team.
