This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Managed Payroll Specialist based in the United States.
This is a US-remote, client-facing payroll role responsible for delivering accurate and compliant payroll services to a portfolio of complex customers. You’ll own the end-to-end payroll cycle, from data collection and validation through approvals and final accuracy checks. As a trusted payroll advisor, you’ll manage customer relationships, resolve nuanced issues, and communicate proactively throughout each pay cycle. The role combines payroll expertise with problem-solving, technology, process improvement, and service excellence. You’ll also contribute to improving systems, automation, AI-assisted workflows, and operational processes as the managed payroll offering continues to scale. As a senior team member, you’ll mentor colleagues, handle escalations, and help establish stronger standards for quality and compliance. Accountabilities
- Own the end-to-end payroll cycle for a portfolio of complex US customers, including data collection, pre-validation, data entry, approval coordination, and final accuracy checks.
- Conduct proactive pre-payroll reviews to identify issues such as unapproved timecards, onboarding gaps, pending time off, variable compensation changes, and other factors that could affect payroll delivery.
- Serve as the primary point of contact for assigned customers, providing clear, proactive, and professional communication throughout each pay cycle.
- Manage complex or high-risk payroll escalations, applying sound judgment and customer empathy to drive issues through to resolution.
- Partner with Product, Engineering, Implementation, Customer Support, and Sales teams to communicate customer needs, document edge cases, support implementations, and assess Managed Payroll requirements.
- Identify recurring issues and opportunities to improve processes, tooling, automation, and AI-assisted workflows.
- Contribute to and maintain standard operating procedures and scalable processes that strengthen service quality, compliance, and auditability.
- Mentor payroll specialists and contribute to training resources and knowledge-sharing initiatives.
- Help continuously improve the Managed Payroll program by translating customer feedback and operational insights into better systems and service delivery.
- 4+ years of hands-on US managed payroll experience, ideally involving multi-client and multi-state payroll processing.
- Strong knowledge of federal and state payroll regulations and core US payroll concepts, including tax withholding, garnishments, benefits deductions, and leave compliance.
- Demonstrated ability to manage client-facing relationships with clear, proactive, professional, and empathetic communication.
- Strong analytical and problem-solving skills, with the ability to manage nuanced payroll scenarios and make sound independent decisions.
- Comfortable working in a fast-moving and evolving environment where priorities can shift and processes may continue to develop.
- A proactive, adaptable mindset with the ability to identify interim solutions, navigate ambiguity, and contribute to improving operational playbooks.
- Genuine comfort with technology and interest in using automation and AI-assisted workflows to improve payroll operations.
- Proficiency with Google Workspace or Microsoft Excel; experience with Salesforce or Jira is a plus.
- Experience working in a SaaS or HRIS environment is highly desirable.
- FPC or CPP certification is a strong plus.
- Strong attention to detail and a commitment to accuracy, compliance, auditability, and high-quality customer service.
- US-remote work opportunity, excluding the San Francisco Bay Area and New York City metropolitan area.

- US Tier 2 salary range of $65,000–$95,000 per year.
- US Tier 3 salary range of $60,000–$90,000 per year.
