Accountabilities

  • Contract Administration and Compliance: Support contract management activities across multiple projects, ensuring contractual obligations, documentation requirements, and internal policies and procedures are consistently followed.
  • Financial and Cost Management: Assist with project cost and rate development, maintain accurate financial records, and support project teams in monitoring budgets and financial performance.
  • Invoicing and Progress Reporting: Provide invoice preparation and processing support, assist with project progress reports, and help Project Managers maintain visibility into project status and financial information.
  • Subcontract and Purchase Order Management: Support the processing and administration of subcontracts and purchase orders, ensuring relevant documentation is complete and properly maintained.
  • Vendor and Subcontractor Payments: Code and process subcontractor and vendor invoices accurately, coordinate related documentation, and assist with billing and collections activities when required.
  • Project Documentation: Maintain organized contractual, financial, and administrative project records, ensuring information remains current, accurate, and accessible to relevant stakeholders.
  • Project Monitoring and Communication: Track project progress, provide timely updates to stakeholders, and proactively coordinate with Project Managers and team members to address outstanding tasks and support delivery milestones.
  • Project Closeout: Assist with project completion and closeout procedures, verifying that required documentation, contractual obligations, and administrative activities are completed.
  • Team Collaboration and Mentorship: Work closely with project teams to support day-to-day operations, share knowledge, and provide guidance to less experienced colleagues when appropriate.
  • Additional Project Support: Adapt to changing project priorities and business needs, taking on additional assignments that contribute to efficient operations and overall project success.
  • Professional Experience: At least 2 years of experience in project support, project administration, or a related field.
  • Education: A degree in Project Management, Accounting, Business Administration, or a related discipline, or equivalent professional experience.
  • Contract Management Knowledge: Understanding of contract and subcontract administration procedures, compliance requirements, and supporting documentation.
  • Financial Administration Skills: Experience or familiarity with invoicing, billing support, project financial records, cost and rate development, and progress reporting.
  • Microsoft Office Proficiency: Strong proficiency in Microsoft Word, Excel, and Outlook, with working knowledge of PowerPoint.
  • Project Management Tools: Familiarity with project scheduling software, project management information systems (PMIS), or tools such as Microsoft Project is an advantage. Experience with BST or similar platforms is also beneficial.

  • Organization and Attention to Detail: Strong organizational skills and accuracy when handling financial information, contractual records, invoices, and multiple project-related deadlines.
  • Communication and Collaboration: Ability to communicate clearly, provide timely updates, and work effectively with Project Managers, project teams, vendors, subcontractors, and other stakeholders.
  • Analytical and Problem-Solving Skills: Ability to monitor project information, identify discrepancies, maintain reliable records, and support the resolution of administrative or financial issues.
  • Adaptability and Initiative: A proactive, dependable approach to work, with the ability to manage competing priorities, work under moderate supervision, and adjust to evolving project requirements.
  • Mentoring Ability: Willingness to share knowledge and support the development of less experienced team members when needed.

  • Health Coverage: Medical, dental, and vision insurance.
  • Insurance Protection: Short-term and long-term disability insurance, life insurance, and long-term care insurance.
  • Retirement Savings: 401(k) retirement savings plan with an employer match.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
