We are seeking an experienced legal operations professional to streamline and strengthen the administrative processes that support a global legal function. In this role, you will oversee contract management, legal billing, vendor relationships, and operational systems. You will collaborate closely with Legal, Finance, Procurement, and Engineering teams to improve workflows and enhance operational efficiency. The position offers opportunities to drive process automation, manage essential legal technology platforms, and develop scalable ways of working. Accountabilities
- Contract Management: Own the end-to-end contract execution, filing, and recordkeeping process, ensuring documents are accurately issued, organized, accessible, and easy to retrieve.
- Budget and Billing Operations: Oversee payment requests and invoice reviews, coordinate with Finance to resolve billing discrepancies, and support legal budget tracking and forecasting.
- Vendor Management: Coordinate vendor onboarding, renewals, and rate-card administration while ensuring external law firms comply with established legal counsel guidelines.
- Legal Systems Administration: Manage relationships with matter management and e-signature platform providers, oversee system configurations and integrations, and maintain approval workflows.
- User Support and Enablement: Help colleagues use legal technology tools effectively, improving adoption and consistency across the team.
- Process Improvement and Automation: Identify manual, repetitive, or inefficient activities, design streamlined workflows, and drive automation initiatives through implementation.
- Documentation and Governance: Maintain accurate, up-to-date process documentation to support operational consistency, transparency, and effective knowledge sharing.
- Cross-Functional Collaboration: Partner with Legal, Finance, Procurement, and Engineering stakeholders to implement operational improvements and resolve issues efficiently.
- At least 5 years of experience in legal operations or a related field, such as legal finance, contract management, or in-house legal support.
- Proven experience designing and managing processes involving high volumes of payment requests, invoices, contracts, and other documentation with a strong focus on accuracy.
- Strong spreadsheet skills and the ability to work confidently with large datasets, analyze information, and maintain reliable records.
- Professional fluency in English, with the ability to coordinate effectively with international partners and stakeholders. Additional languages are an advantage.
- Sound judgment and discretion when handling confidential, sensitive, or commercially important information.
- Strong organizational, analytical, and problem-solving skills, with the ability to prioritize competing demands and manage operational responsibilities independently.
- Confidence in making day-to-day decisions, taking ownership of issues, and escalating matters appropriately when necessary.
- Preferred qualifications: Experience administering or implementing matter management, contract management, or e-billing platforms.
- Preferred qualifications: Scripting or automation experience, including Python, APIs, low-code tools, or collaboration with engineering teams on technical solutions.
- Preferred qualifications: Project management or change management experience, particularly when introducing new systems or improving established workflows.
