The posting

We are looking for a highly organized Venue/Event Coordinator to manage venue knowledge, event logistics, and operational details for our events. This role is responsible for building and maintaining strong venue and client relationships, coordinating vendors, and ensuring smooth setup and execution.

Venue Management

  • Maintain detailed knowledge of all approved venues.
  • Build and sustain professional relationships with venue contacts.
  • Confirm venue requirements, policies, and operational procedures.
  • Serve as the internal resource for venue-related questions.

Event Logistics

  • Manage logistical planning for events, including timing, flow, and resource allocation.
  • Track and update event details as they change.
  • Ensure all setup instructions are accurate and clearly communicated.

Vendor Coordination

  • Maintain a contact list of preferred vendors.
  • Communicate event requirements to vendors as needed.
  • Verify vendor delivery schedules, setup, and execution.

Setup & Execution

  • Document and organize setup information for each event.
  • Confirm equipment, layout, and service requirements.
  • Proactively identify potential issues and resolve them before event day.

Quality Control

  • Review event plans to ensure completeness.
  • Ensure all logistical and vendor details are accurate.
  • Support administrative tasks related to payments, contracts, or client follow-ups when required.

Qualifications

  • Familiarity with project management tools such as Asana or Trello.
  • Experience using a CRM system to track client, vendor, or event information.
  • Strong attention to detail, organization, and communication skills.
  • Ability to manage multiple events and priorities simultaneously.
