The posting

Oversee the execution of accounts payable payment activities, including payment processing, vendor management, compliance and controls, account reconciliations, and month-end support.

The role ensures payment accuracy, regulatory compliance, operational efficiency, and effective stakeholder engagement while contributing to process improvement initiatives and system enhancements.

Key Responsibilities

Payment Processing

  • Manage and execute end-to-end supplier payment runs, including EFT, bank transfers, BPAY, direct debit, and international payments.
  • Review and validate payment proposals prior to submission and release.
  • Ensure all payments are processed accurately and within agreed payment terms.
  • Investigate and resolve payment rejections, failed transactions, and bank-related issues.
  • Monitor payment schedules and cash requirements to support business operations.

Accounts Payable Controls & Compliance

  • Ensure adherence to AP policies, delegation of authority, and payment approval workflows.
  • Perform payment verification checks to prevent duplicate, fraudulent, or unauthorized payments.
  • Execute key AP controls and maintain supporting documentation for audit purposes.
  • Assist with internal and external audit requests related to AP transactions and payments.
  • Maintain compliance with company policies, taxation requirements, and regulatory obligations.

Vendor Management

  • Maintain supplier banking information and ensure appropriate validation procedures are completed.
  • Respond to vendor payment inquiries and resolve discrepancies in a timely manner.
  • Support supplier statement reconciliations and resolution of outstanding items.

Systems & Process Improvement

  • Utilize Microsoft Dynamics 365 (D365) to process and monitor AP transactions and payment activities.
  • Support invoice automation and workflow processes within Continia OCR (where applicable).
  • Identify opportunities to improve AP payment processes, controls, and efficiencies.
  • Participate in system enhancements, testing, and process improvement initiatives.

Month-End Responsibilities

  • Assist with AP month-end close activities.
  • Reconcile AP-related accounts and payment clearing accounts.
  • Ensure all payment transactions are accurately recorded within the financial system.
  • Support accruals, reporting, and reconciliation activities as required.

Essential

  • Minimum 3-5 years of Accounts Payable experience, with a strong focus on payments processing (Focused).
  • Demonstrated experience managing high-volume payment runs.
  • Strong understanding of Accounts Payable controls, compliance requirements, and risk mitigation.
  • Experience using Microsoft Dynamics 365 Finance & Operations (D365) or equivalent ERP system.
  • Strong analytical, problem-solving, and reconciliation skills.
  • High attention to detail and commitment to accuracy.
  • Excellent communication and stakeholder management skills.
  • Advanced Microsoft Excel skills.
  • Experience with Continia OCR and invoice workflow automation.
  • Experience in a Shared Services environment.
  • Knowledge of Australian GST and payment compliance requirements
  • Experience with bank reconciliation and treasury-related activities.
