Job Description
What You'll Do
Knobelsdorff (KE) is seeking an Electrical Field Services Estimating Coordinator to support the growth and responsiveness of the Electrical Field Services Department through customer collaboration, field scoping, estimating, proposal development, and sales support.
This role is responsible for partnering with Business Development (BD), the Electrical Field Services Solutions team, CMs, field leadership, and customers to turn service requests and project opportunities into clear, accurate, and executable proposals.
The Estimating Coordinator will help manage incoming opportunities, conduct customer site visits, gather project information, prepare estimates using KE’s estimating tools, develop professional proposals, and follow opportunities through the customer decision and purchase-order process.
This position is ideal for an early-career professional who communicates well, is comfortable visiting industrial facilities, is interested in electrical construction and estimating, and wants to develop a career that combines technical knowledge, customer service, sales, and project development.
Key Responsibilities
Business Development and Opportunity Intake
- Partner with BD and the Electrical Field Services Solutions Manager to review incoming customer requests and project opportunities.
- Help prioritize opportunities based on customer needs, urgency, strategic importance, available resources, and likelihood of award.
- Maintain clear visibility into active estimating opportunities, proposal deadlines, customer follow-ups, and expected awards.
- Gather the initial information necessary to determine project requirements and identify the appropriate internal stakeholders.
- Communicate with customers to clarify requests, establish expectations, and coordinate the next steps in the estimating process.
- Support BD goals and customer-development strategies by providing timely estimating and proposal support.
- Identify additional field service opportunities while working with customers, including repairs, upgrades, testing, preventive maintenance, retrofits, and small-project needs.
Customer Site Visits and Scope Development
- Visit customer facilities to review requested work and gather the information necessary to develop an accurate estimate.
- Conduct all customer and jobsite interactions in a safe, professional, and respectful manner.
- Coordinate site visits with customers, BD, CMs, field leaders, vendors, and other stakeholders as needed.
- Document existing conditions through organized field notes, measurements, photographs, equipment information, drawings, and customer conversations.
- Review electrical equipment, installation routes, access requirements, shutdown needs, working conditions, and potential project constraints.
- Identify scope gaps, safety considerations, constructability concerns, and information that requires further clarification.
- Ensure photographs and field documentation are organized and stored so they can be used during estimating, proposal development, and project handoff.
- Escalate complex technical questions or higher-risk project conditions to the Solutions Manager, field leadership, engineering, or other qualified resources.
Estimating and Proposal Development
- Develop accurate estimates for electrical field service and small-project opportunities using KE’s estimating tools and established processes.
- Build project estimates that account for labor, materials, equipment, subcontractors, travel, mobilization, supervision, and other project requirements.
- Obtain vendor and subcontractor quotations and verify pricing, availability, lead times, and scope coverage.
- Use field information, drawings, specifications, customer documentation, and input from field personnel to develop complete project pricing.
- Prepare professional customer proposals using KE proposal templates and approved language.
- Clearly define the proposed scope of work, assumptions, exclusions, clarifications, alternates, and customer responsibilities.
- Work with CMs to provide timely estimates and proposals for customer requests that require a quick response.
- Coordinate with the Solutions Manager to review pricing, risk, margin, commercial requirements, and limits of authority before proposals are submitted.
- Revise estimates and proposals when customer requirements or project conditions change.
- Maintain accurate estimating files and supporting documentation for future reference and project handoff.
Sales Support and Proposal Conversion
- Present and communicate proposals professionally to customers, with support from BD or the Solutions Manager when appropriate.
- Follow up on submitted proposals to answer questions, address concerns, and understand the customer’s decision-making timeline.
- Help move approved work through the customer’s purchasing process and reduce the time between proposal submission and purchase-order receipt.
- Track proposal status, customer feedback, award probability, expected award dates, and reasons for won or lost opportunities.
- Coordinate proposal revisions, value-engineering options, alternates, and scope adjustments when needed to support project award.
- Build trust with customers by being responsive, organized, accurate, and dependable.
- Maintain professional communication throughout the estimating and sales process without overcommitting KE’s resources or capabilities.
- Support long-term customer relationships rather than focusing only on individual transactions.
Internal Coordination and Project Handoff
- Coordinate with BD, CMs, field leadership, project managers, estimators, engineering, vendors, and operational support teams throughout project development.
- Ensure awarded projects are handed off with a complete estimate, proposal, field documentation, photographs, vendor quotes, customer information, and scope clarifications.
- Participate in project turnover or kickoff meetings when needed.
- Clearly communicate special jobsite conditions, customer expectations, access limitations, shutdown requirements, long-lead materials, and other execution risks.
- Assist with the development of preliminary bills of material and procurement information when requested.
- Help ensure that the field team understands what was included in the estimate and what commitments were made to the customer.
- Support change-order pricing or additional customer requests that arise after project award.
- Maintain communication with the project team when estimating assumptions or customer expectations require clarification.
Pipeline and Performance Visibility
- Maintain an organized list of active opportunities, estimates in progress, proposals submitted, follow-up dates, expected awards, and purchase orders received.
- Provide regular updates to the Solutions Manager and BD regarding proposal workload, priorities, customer activity, and potential awards.
- Track proposal turnaround times and identify opportunities to improve estimating responsiveness.
- Help forecast upcoming work by maintaining accurate information on anticipated awards and customer timing.
- Monitor quote-to-purchase-order cycle time and support efforts to move approved opportunities forward.
- Record reasons for awarded, delayed, declined, or lost proposals to improve future sales and estimating strategies.
- Support backlog development by helping KE respond quickly and professionally to qualified customer opportunities.
Process Standardization and Continuous Improvement
- Use approved bid tools, proposal templates, estimating databases, checklists, and project-development processes.
- Help maintain and improve standard proposal language, estimating assemblies, scope templates, labor assumptions, and field-walk documentation.
- Participate in estimate-versus-actual reviews to understand project performance and improve future estimate accuracy.
- Capture lessons learned from awarded and completed projects.
- Identify recurring information gaps, pricing challenges, customer concerns, and process delays.
- Recommend improvements that make estimating, proposal development, customer follow-up, and project handoff more consistent.
- Continue developing knowledge of electrical systems, industrial facilities, KE installation practices, and field-service capabilities.
Qualifications
What You'll Bring
- Associate or bachelor’s degree in construction management, electrical technology, engineering technology, business, sales, or a related field preferred; equivalent education or relevant experience will also be considered.
- Previous internship, construction, estimating, customer service, sales, or project-coordination experience preferred.
- Interest in electrical construction, industrial facilities, field services, estimating, and customer development.
- Ability to learn electrical materials, installation methods, labor considerations, and jobsite requirements.
- Strong written and verbal communication skills.
- Ability to communicate professionally with customers, field personnel, vendors, and internal stakeholders.
- Strong organizational skills with the ability to manage multiple estimates, deadlines, and customer requests.
- Comfortable conducting customer site visits and working in active industrial and construction environments.
- Ability to take organized field notes, measurements, photographs, and equipment information.
- Strong attention to detail and willingness to ask questions when project requirements are unclear.
- Comfortable working with estimating software, spreadsheets, proposal templates, CRM or opportunity-tracking systems, and Microsoft 365.
- Ability to work independently while recognizing when technical, commercial, or operational guidance is needed.
- Valid driver’s license and ability to travel to customer facilities as required.
- Ability to follow KE and customer safety requirements, including the use of required personal protective equipment.
What Success Looks Like
- Customer requests are acknowledged, scoped, estimated, and proposed within established turnaround expectations.
- BD and CMs receive responsive and dependable support for qualified Field Services opportunities.
- Site visits produce complete notes, photographs, measurements, and project information that support accurate estimates.
- Proposals clearly communicate scope, pricing, assumptions, exclusions, and customer responsibilities.
- Customers receive timely follow-up and understand the next steps required to move projects forward.
- The time between proposal submission and purchase-order receipt is reduced.
- Awarded projects are handed off to the field and project teams with complete and organized documentation.
- Estimate accuracy improves through field feedback, project reviews, and lessons learned.
- Opportunity and pipeline information remains current and provides reliable visibility into upcoming Field Services work.
- The Estimating Coordinator develops the technical knowledge and customer relationships necessary to manage increasingly complex opportunities.
