Job Title: Operations & Maintenance (O&M) Coordinator

Job Description:

As an Operations & Maintenance (O&M) Coordinator based at the Head Office (HO), you will play a crucial role in facilitating the smooth and efficient functioning of multiple project sites by coordinating routine O&M activities, managing breakdowns, handling handover-takeover (HOTO) processes, overseeing vendor relationships, liaising with various departments, addressing client queries, and preparing management information system (MIS) reports.

Key Responsibilities:

Coordinating Routine O&M and Breakdown Activities:

  • Liaise with site in-charges to schedule and coordinate routine maintenance activities, including inspections, servicing, and repairs, across all project sites.
  • Act as a central point of contact for reporting and managing breakdowns or emergencies, ensuring timely resolution and minimal downtime.
  • Maintain records of O&M activities, including work orders, maintenance logs, and equipment performance data.

HOTO Activities between Project and O&M:

  • Facilitate smooth handover and takeover (HOTO) processes between project development teams and O&M teams for newly commissioned sites.
  • Ensure all relevant documentation, manuals, and training materials are provided to O&M teams for effective site management post-commissioning.

Vendor Management and Coordination:

  • Manage relationships with external vendors, contractors, and service providers involved in O&M activities, including negotiating contracts, monitoring performance, and resolving issues.
  • Coordinate procurement of spare parts, consumables, and specialized services required for O&M activities, ensuring cost-effectiveness and timely delivery.

Collaboration with Different Departments:

  • Collaborate with various internal departments such as engineering, procurement, logistics, and finance to ensure seamless coordination and support for O&M activities.
  • Facilitate communication and information sharing between different departments to address operational challenges and optimize resource allocation.

Client Interaction and Query Handling:

  • Serve as a primary point of contact for client queries and concerns related to O&M activities, ensuring timely responses and resolution of issues.
  • Maintain positive relationships with clients by providing regular updates on O&M performance, addressing feedback, and proactively identifying opportunities for improvement.

Preparing MIS Reports:

  • Compile and analyze data from multiple project sites to prepare comprehensive management information system (MIS) reports, highlighting key performance indicators (KPIs), operational trends, and areas for improvement.
  • Present MIS reports to management, providing insights and recommendations to support decision-making and strategic planning initiatives.

Requirements:

  • Bachelor's degree in Engineering, Business Administration, or related field. Additional qualifications in project management or operations would be beneficial.
  • Proven experience in operations and maintenance coordination, preferably in the renewable energy or infrastructure sector.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal teams, external stakeholders, and clients.
  • Proficiency in MS Office applications (Excel, Word, PowerPoint) and experience with database management systems for generating reports and analyzing data.
  • Detail-oriented mindset with a focus on accuracy and quality in documentation and reporting.
  • Ability to adapt to changing priorities and work independently with minimal supervision.
  • Willingness to travel occasionally to project sites as required.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
