Job Description

Summary

The Biomedical Engineering Coordinator supports the operational, administrative, and regulatory functions of the Biomedical Engineering program across LMH Health. Responsibilities include coordinating preventive maintenance schedules, managing service contracts and vendor relationships, maintaining equipment and maintenance records, supporting regulatory compliance and accreditation readiness, and providing reporting and analysis related to equipment operations and lifecycle planning. The position serves as a key liaison among Biomedical Engineering, clinical departments, vendors, and support services to ensure efficient and compliant management of medical and clinical equipment.

Responsibilities

Contract Administration & Vendor Management

  • Administers service, warranty, and maintenance agreements for clinical and medical equipment, maintaining contract records, renewal schedules, vendor performance metrics, and supporting documentation.
  • Coordinates contract review and execution workflows, assembles contract documentation, monitors approval status, and supports leadership decision making through contract cost and coverage analyses.
  • Serves as the primary administrative liaison for equipment service vendors, coordinating visits, credentialing requirements, remote access requests, service documentation, and invoice reconciliation.

Equipment Maintenance Coordination

  • Coordinates preventive maintenance schedules for clinical equipment by generating work lists, scheduling service activities with departments and vendors, monitoring completion status, and maintaining associated documentation.
  • Supports recall management and field corrective action processes by tracking notifications, documenting responses, and maintaining completion records.

System & Documentation Management

  • Maintains equipment records within the computerized maintenance management system (CMMS), ensuring accurate asset, service history, contract, and lifecycle information.
  • Reconciles equipment data across CMMS, financial, and information technology systems and identifies discrepancies requiring correction.
  • Maintains documentation required for accreditation, regulatory compliance, and survey readiness related to equipment management programs.

Reporting & Planning Support

  • Produces operational reports and analyses related to preventive maintenance compliance, vendor performance, contract activity, equipment lifecycle planning, and budget development.
  • Supports equipment acquisition and replacement planning by gathering technical, operational, and financial information for leadership review.

Administrative Support

  • Provides departmental administrative support including purchasing coordination, invoice processing, records management, meeting coordination, inventory support, and other related duties as assigned.

Qualifications

Required:

  • High school diploma or equivalent.
  • 3 years’ work experience in healthcare operations, contract administration, clinical engineering support, facilities support, supply chain, or similar coordination experience

Preferred:

  • Associate or bachelor’s degree in business administration, healthcare administration, supply chain management, or a related field.
  • Healthcare experience, particularly in biomedical or clinical engineering, facilities, materials management, or supply chain.
  • Experience with a computerized maintenance management system, and with Workday procurement or contract lifecycle management.
  • Familiarity with medical equipment management requirements under The Joint Commission environment of care standards and the Centers for Medicare and Medicaid Services conditions of participation.
  • Familiarity with medical device recall and field corrective action processes.
  • Contract management certification, such as Certified Commercial Contracts Manager or Certified Professional Contracts Manager, or an administrative professional certification.
