Key Responsibilities

  • Support operational transfer agency and fund administration activities, including the processing of investor transactions, account maintenance, subscriptions, redemptions, transfers, and other account-related activities.
  • Process client instructions and account-related transactions accurately and within established service level agreements.
  • Coordinate transfer agency activities with internal teams to ensure efficient transaction processing and timely issue resolution.
  • Perform routine and non-routine client servicing activities, responding to operational inquiries and resolving issues in a professional and timely manner.
  • Monitor fund and investor data to ensure accuracy, completeness, and compliance with client, regulatory, and internal requirements.
  • Conduct operational checks and reconciliations to identify discrepancies, exceptions, or potential risks.
  • Investigate transaction breaks, fund errors, and operational exceptions, taking corrective action and escalating issues where necessary.
  • Maintain and update investor records, transaction documentation, and operational databases.
  • Work closely with internal stakeholders to support operational changes, process improvements, and service delivery initiatives.
  • Assist in the preparation and maintenance of process documentation, operating procedures, workflow guides, and administrative records.
  • Support audit, compliance, regulatory review, and risk management activities by ensuring accurate record keeping and documentation.
  • Contribute to continuous improvement initiatives aimed at enhancing operational efficiency, controls, and client experience.
  • Provide guidance and support to junior team members where required.
  • Ensure all activities are performed in accordance with internal policies, operating procedures, and regulatory requirements.

Requirements

  • Diploma, Associate Degree, or Bachelor's Degree in Finance, Banking, Business, Accounting, Economics, or a related discipline.
  • Minimum 3 to 6 years of experience in Transfer Agency, Fund Administration, Investor Services, Fund Operations, Asset Servicing, Custody Operations, or related financial services functions.
  • Knowledge of fund administration and transfer agency processes, including investor account servicing and transaction processing.
  • Understanding of investment funds, asset management, mutual funds, unit trusts, or related financial products.
  • Experience processing transactions, maintaining investor records, and supporting operational servicing activities.
  • Familiarity with regulatory, compliance, and operational control requirements within the financial services industry.
  • Good analytical and problem-solving skills with the ability to investigate and resolve operational issues.
  • High attention to detail and accuracy when handling transactions and fund data.
  • Effective verbal and written communication skills.
  • Ability to collaborate with multiple stakeholders and work effectively in a team environment.
