Job Title: Clerk III – Human Resources Assistant (Employment) FLSA Status: Represented – Local 9 Wage: 1st Year Hourly Rate: $25.16 per hour 2nd Year Hourly Rate: $28.27 per hour JOB SUMMARY: Provides clerical support to the Employment Division of the Human Resources department. Maintains all documents within Employment files and enters data and documents within the HRIS as needed. Conducts work verifications on behalf of the Employment Division and responds to internal requests for employment verification as well as external requests for DOT verification. ESSENTIAL FUNCTIONS:
Maintain integrity and accuracy of employee data within Employment files and the HRIS. Manage, maintain and monitor employee files within HRIS and other electronic document management systems. Coordinate with the multiple departments to ensure that all required forms are processed within HRIS. Track and maintain all required documents upon hire. Create and maintain physical and electronic Employment files. Ensure all personnel information is confidential and secure. Respond to requests for information including but not limited to DOT records, personnel files, work verifications and assist in gathering information related to other requests. Coordinate onsite and virtual interviews, and introductory meetings for new hires when necessary. Screen applications for Recruiters and schedule phone screens as necessary. Prepare new hire onboarding materials and assist with employee orientations. Utilize HRIS system to process forms for new hires within the onboarding process. Prepare and maintain attendance lists and other documents for new hire orientation classes. Maintain Public Abstract Request System (PARS) account by enrolling new hires and purging employees upon termination. Performs other duties as required.
QUALIFICATIONS:
Associate degree in Human Resources or related field preferred. Two (2) years of experience providing administrative support to the Human Resources department including talent acquisition. One (1) year of recent experience within HRIS system(s). Experience with Ceridian Dayforce is strongly preferred. Ability to pass preemployment exam(s). Maintain regular and acceptable attendance record as determined by MCTS.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of Ceridian Dayforce and document management solutions. Ability to use Microsoft Office and other software used within the position. Knowledge of Employment Law. Ability to pay close attention to details. Ability to maintain strict confidentiality. Excellent customer services skills with ability to speak with the public and employees within all levels of the company. Ability to exercise discernment and judgement with the ability to adapt to various situations. Ability to effectively use various types of office equipment. Knowledge and ability to accurately apply basic mathematical skills. Ability to work on-site Neat, legible handwriting.
PHYSICAL REQUIREMENTS AND ENVIRONMENTAL FACTORS:
Work is frequently conducted in an office or similar indoor environment relatively free from unpleasant environmental conditions or hazards. Physical requirements are those described as sedentary work, which includes exerting ten (10) pounds of force occasionally, a negligible amount of force frequently and/or constantly having to lift, push, pull or otherwise move objects, including the human body.
