Our journey has been driven by continuous innovation, a passion for technology, and above all — the people who make it happen.

We’re more than a software company. We’re a team of problem-solvers, innovators and collaborators working together to reinvent the category of accounts payable. Our solutions use Artificial Intelligence to eliminate manual work, bring clarity, confidence, and control, and empower finance teams of the future.

At Medius, our values guide how we work and grow together:

  • Question – We enjoy the challenge of our work and the thrill of collaboration. We are not afraid to question ourselves and each other because we believe diverse perspectives can lead to better outcomes and that there is great power in resolution.
  • Own – We are thorough, thoughtful, and decisive. We anticipate what’s next, what a customer might need, and then we deliver. That’s how we get things done. And that’s how we remain a leader. Customers trust us to do our job so that they can focus on what they do best.

At Medius, you’ll join a diverse, global community where curiosity is celebrated, ideas matter, and innovation never stops. This individual will be a key contributor to US HR delivery, supporting compliance, accuracy, and excellence across all processes with guidance from the Global Head of HR Operations. The ideal candidate brings exposure to PEO environments (ADP TotalSource a plus), hands-on experience supporting payroll and benefits administration, and the initiative to work with autonomy on day-to-day tasks while partnering with global HR and payroll colleagues.

Responsibilities and Duties

  • Provide day-to-day guidance to managers and employees on HR policies and procedures, escalating complex matters as needed.
  • Help maintain and update the US employee handbook and HR policy framework, flagging where evolving legislation requires change.
  • Ensure the integrity and accuracy of employee data within the HR Information System (HRIS - HiBob), including timely entry, updates, and audits of personnel records.
  • Maintain compliance with data governance standards and support regular data quality reviews to identify and correct inconsistencies.
  • Collaborate with HR teams and business stakeholders to ensure seamless data flow across systems and processes.

Onboarding & Offboarding

  • Coordinate the US onboarding process from offer acceptance to first-day readiness, ensuring an exceptional employee experience.
  • Add, maintain, and revoke employee information in both the HRIS system and the ADP TotalSource system (PEO)
  • Ensure compliance with work authorization requirements (I-9 and E-Verify), including periodic audits.
  • Track probation periods via HRIS data; coordinate with People Managers to monitor progress and support extensions where required; inform the HR Business Partner of any identified risk.
  • Manage the offboarding process from accepted resignation, ensuring compliance and proper coordination with payroll, benefits, and IT, including HRIS offboarding with automatic triggers to Payroll and IT; issue exit surveys as part of the offboarding process.

Compensation, Benefits & Payroll

  • Support US benefits administration, including health & welfare programs, leave policies, and employee inquiries. Assist with 401(k) plan administration, including eligibility and enrollments, and provide supporting data for plan audits and compliance filings, which are owned by the Global Head of HR Operations.
  • Partner closely with the Global Payroll Manager to prepare and review payroll, checking calculations and deductions for accuracy and supporting compliance.
  • Act as a day-to-day contact for the PEO (ADP TotalSource), supporting accurate data management and reporting.

Compliance & Risk Management

  • Monitor changes to US employment law and support the updating of policies and practices.
  • Coordinate compliance activities including mandatory trainings, reporting, and audits.
  • Maintain employee records with a focus on accuracy, confidentiality, and compliance with federal and state requirements.

Employee Relations & Support

  • Act as the first point of contact for US HR queries, ensuring consistent application of policies and escalating complex matters to the HR Business Partner.
  • Support managers on employee relations matters, performance management, and development conversations.
  • Ensure a fair, compliant, and respectful approach to issue resolution.
  • Provide documentation and coordination support on formal employee relations cases, including Performance Improvement Plans (PIPs), which are led by the HR Business Partner; maintain the ER templates and guidance tools issued by the HR Business Partner.
  • Maintain the ER case management tracker; provide regular updates to HR Business Partners and collaborate to identify opportunities to reduce future cases.

HR Strategy & Projects

  • Contribute to US HR projects aligned with global HR priorities, such as engagement initiatives, compensation reviews, and process improvements.
  • Provide US-specific HR insights, reporting, and data analysis to inform leadership decision-making.
  • Partner with global HR colleagues to ensure alignment of practices and sharing of best practices
  • Support Environmental, Social, and Governance (ESG), compliance, and audit-related requests in collaboration with cross-functional stakeholders.

Global HR Support & Partnership

  • Share US process documentation and templates with HR Operations colleagues in other geographies; HR delivery outside the US is owned by the Global Head of HR Operations.
  • Help document and improve US HR processes to drive efficiency and consistency across the global HR Operations team.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field (preferred).
  • 4+ years of HR generalist or HR operations experience with working knowledge of US HR laws and regulations.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
