Position Summary

The Campus Operations Assistant serves as a strategic leader responsible for fostering community, designing engagement programming, and supporting operational excellence across Northeastern University's Miami campus.

Reporting to the Associate Director of Operations, this position combines campus operations support with student, faculty, and staff engagement programming. The Campus Operations Assistant serves as the primary campus liaison for internal and external events, provides on-site training and guidance to work-study students (when applicable), creates internal marketing materials for campus events and programming, and provides hands-on technology support during events. As a key member of the campus operations team, this role works closely with campus leadership and staff, responds to requests from a variety of stakeholders, and follows up to ensure satisfaction — all while approaching each encounter in a gracious, attentive, courteous, and service-oriented manner.

Qualifications

Bachelor's degree and two to five years of progressively responsible administrative support experience in a fast-paced and service-oriented environment, or a relative combination of education and experience required. Experience in higher education preferred. Ability to work in a highly flexible and innovative environment with an expanding role and shifting responsibilities. Strong interpersonal and written communication skills required. High degree of diplomacy, customer service, and organizational skills required. Demonstrated ability to handle multiple tasks simultaneously, respond to last-minute requests, solve problems, act with discretion, adapt to change, and maintain a professional demeanor at all times. Willingness to be proactive, take initiative and ownership, and build collaborative relationships. Sound judgment and ability to deal effectively with highly visible and confidential matters is essential. Must enjoy meeting with people and handling the needs of a wide array of students, staff, faculty, and visitors. Must be able to handle sensitive material, set priorities, and work independently or as part of a team. High degree of proficiency with MS Office Suite and Outlook required. Experience with 25Live, Canvas, Workday, and event management platforms preferred. Familiarity with audio/video equipment and classroom technology required.

Key Responsibilities & Accountabilities

Student, Faculty, and Staff Engagement Programming

· Design and implement engagement initiatives fostering community building, professional development, and interprofessional collaboration across health sciences programs

· Develop faculty and staff recognition programs, team-building activities, mentorship initiatives, and networking events that strengthen campus culture

· Track participation metrics, assess outcomes, and use data-driven insights to refine strategies and demonstrate impact to stakeholders

· Coordinate event logistics including vendor relationships, promotional materials, space reservations, and day-of execution

Campus Liaison & Strategic Event Coordination

· Serve as primary point of contact for all internal and external campus events, providing expertise on space utilization, resource allocation, logistics planning, and institutional protocol

· Coordinate comprehensive event logistics and provide day-of management, troubleshooting, and real-time problem-solving throughout events

· Develop relationships with external organizations, vendors, and community partners while creating standard operating procedures to ensure consistency and quality

· Ensure alignment with institutional standards, safety protocols, and accessibility requirements

General Support to Campus Operations

· Serve as a primary point of contact, internally and externally, for all activities related to campus, triaging and redirecting inquiries as appropriate to the campus leadership team

· Serve as a collaborative partner to other campus functions (e.g., Operations, Academic & Student Affairs, Marketing & Recruiting), coordinating communications among separate campus functions as needed to ensure smooth and efficient operations

· Act as a liaison and provide hospitality to incoming visitors including students and staff from other locations, business partners, and prospective students

· Oversee daily campus operations to ensure a welcoming, professional, and well-maintained environment including reception coverage during high-traffic periods

· Coordinate mail services, package deliveries, property access, and room scheduling for classes, meetings, and events

· Maintain inventory of campus supplies and event materials

Work-Study Student Training & On-Site Guidance

· Train and provide on-site guidance to operations work-study students supporting campus operations and event execution

· Develop training programs, standard operating procedures, and delegation frameworks for administrative tasks

· Provide ongoing mentorship and professional development coaching to enhance transferable skills

Marketing & Communications for Events and Engagement

· Create internal marketing materials for campus events and engagement programming including flyers, digital signage, email communications, and a campus events newsletter — complementing (not duplicating) the work of the campus marketing team

· Design visual marketing materials aligned with institutional brand standards for event promotion

Classroom & Technology Support

· Provide hands-on technology support during events, troubleshooting AV equipment and making real-time adjustments to ensure seamless presentations and programming in campus spaces

· Assist with annual computer inventory

· Perform basic troubleshooting for staff and faculty in classroom and conference room spaces

Expected Hiring Range:
