VACATURE – OFFICE MEDEWERKER

Over MTM

MTM is een Gentse hospitalitygroep met een groot hart voor gastvrijheid, goed eten en een flinke portie sfeer. Al onze zaken liggen in hartje Gent en hebben elk hun eigen karakter: van restaurant tot café, bar en club.

Achter de schermen werken we als één team. Op ons kantoor in Gent komt alles samen: HR, operations, food en cijfers. Zo kunnen onze teams in de zaken zich volledig focussen op wat ze het best doen: onze gasten een topavond bezorgen.

Wie zoeken we?

Voor ons kantoor zoeken we een office medewerker die van orde en structuur houdt, en die het fijn vindt om de spil te zijn waar alle vragen samenkomen.

Jouw rol

Als office medewerker ben je het eerste aanspreekpunt van MTM en neem je de administratie uit handen van onze managers en vloerteams. Je werkt nauw samen met de HR Manager, aan wie je rapporteert, en ondersteunt ook de Operations Manager, de Food Manager en de Finance Manager.

Wat ga je doen?

  • De algemene mailbox en telefoon opvolgen en reservaties correct ingeven
  • De dagontvangsten van cash tellen en betaalverschillen controleren en de wekelijkse rapportering voorbereiden
  • OneTeam, ons interne communicatieplatform, en de documenten erin beheren
  • Kantoor- en werkmateriaal bestellen, en iPads, betaalbakjes en materiaalinventaris beheren
  • IT-aanvragen van medewerkers behandelen
  • De kuisploeg opvolgen en het overzicht van sleutels en sleutelkaarten bijhouden
  • Het wagenpark en de tankkaarten opvolgen
  • De HR Manager praktisch ondersteunen: kaartjes voor medewerkers, documenten archiveren
  • Administratie voor HR / Finance & Food Manager: bestellingen, bijwerken draaiboeken, ophalen en verspreiden drukwerk.

Waar ben je verantwoordelijk voor?

  • Tijdige en vriendelijke opvolging van mails en telefoon
  • Correcte tellingen en een nauwkeurige voorbereiding van de rapportering
  • Correct ingegeven reservaties
  • Orde en structuur in het kantoor en in het materiaal
  • Discrete en zorgvuldige omgang met personeelsgegevens (GDPR)

Mogelijkheid om te starten via een individuele beroepsopleiding (IBO). Dit is een maatregel waarbij je opleiding in het bedrijf volgt van minimum 1 maand tot maximum 6 maanden. Tijdens de IBO ontvang je een premie voor je inspanningen. IBO kan ook voor vrij werkzoekenden en schoolverlaters zonder uitkering. Na de opleiding volgt een contract van bepaalde of onbepaalde duur na een succesvolle afronding van de IBO. Meer info zie https://www.vdab.be/ibo.

Wat verwachten we van jou?

  • Je hebt een diploma in een administratieve richting (bv. office management) of gelijkwaardige ervaring
  • Je werkt nauwkeurig, gestructureerd en zelfstandig
  • Je bent een multitasker en houdt overzicht, ook als er veel tegelijk binnenkomt
  • Je bent communicatief, klantvriendelijk en discreet
  • Je werkt vlot met Microsoft Office en leert snel nieuwe software kennen
  • Je spreekt vlot Nederlands, Engels en Frans zijn een plus
  • Je hebt affiniteit met horeca, of je bent nieuwsgierig om die wereld van binnenuit te leren kennen
