Contract period: One-year period from 1 January 2027 to 31 December 2027
(with an option to extend for one additional year from 1 January 2028 to 31 December 2028)
Working Hours:
Monday to Friday, 8:00am to 4:00pm (excluding weekends and public holidays).
Lunch break (1-hour): 12.00pm to 1.00pm (negotiable)
Job Scopes: 3.1 Coffee machine operations
• Carry out opening checks each workday to confirm that the coffee machines are powered on, clean,
adequately stocked and ready for use
o One (1) Coffee Machine located at Level 6 Pantry, Two (2) Coffee Machines located at Level 6
Social Hub.
• Replenish approved consumables, including coffee beans, milk product, chocolate powder, tea bags,
sugar, stirrers, cups and lids, where applicable.
• Monitor water supply, drip trays, waste containers, milk refrigeration components and machine alerts, in
accordance with the manufacturer’s and service vendor’s instructions.
• Perform routine external cleaning, rinsing and user-level cleaning using approved cleaning agents and
procedures. The appointed staff shall not dismantle equipment or undertake technical repairs.
• Conduct checks during operating hours and take prompt action if a machine is unavailable, leaking,
displaying an error or producing beverages inconsistently.
• Place clear temporary signage on any machine that is unsafe or unavailable for use and notify NUH HR
immediately.
• Record faults, downtime, actions taken and service follow-up in the designated log.
3.2 Pantry and Social Hub operations
• Conduct routine checks to keep the Pantry and Social Hub clean, safe, tidy and ready for staff use.
• Wipe and sanitise coffee machine touchpoints, beverage preparation surfaces and other high-use pantry
surfaces at suitable intervals and when visibly soiled.
• Keep sinks, dish racks and common surfaces orderly, and remove or escalate spillages and hygiene
concerns promptly.
• Ensure approved pantry consumables and cleaning materials are stored neatly, safely and in
accordance with product instructions.
• Report facility defects, leaks, pest sightings, cleanliness concerns, safety hazards or damaged furniture
to the relevant NUH contact.
• Restore furniture and shared areas to their intended arrangement when required, without obstructing
access or emergency routes.
• Promote proper housekeeping by displaying or reinforcing approved user guidance.
3.3 Inventory and administration
• Conduct regular stock counts and maintain accurate records of receipts, consumption, balance and
expiry dates, where applicable.
• Apply first-expire, first-out stock rotation for dated consumables and promptly segregated expired,
damaged or contaminated items.
• Notify NUH HR when stock reaches the agreed reorder level, allowing sufficient lead time for
replenishment.
• Maintain daily checklists, fault logs, service reports and other records required by NUH.
• Provide a concise monthly summary of stock status, machine incidents, downtime and recurring issues,
if requested by NUH.
3.4 Vendor and maintenance coordination
• Liaise with NUH HR and the appointed coffee machine service vendor for preventive maintenance,
breakdown attendance, replacement equipment and consumable delivery.
• Facilitate vendor access and verify that servicing is completed at the correct location, subject to NUH
access and safety requirements.
• Retain service reports and follow up on outstanding faults until closure.
• Escalate recurring faults, prolonged downtime or service delays to NUH HR.
3.5 Staff support and ad hoc duties
• Provide basic user guidance on the correct operation of the coffee machines. Staff shall not provide
technical advice beyond approved operating instructions.
• Assist with approved communications or notices relating to pantry facilities and machine availability.
• Collect and relay user feedback on beverage options, pantry supplies and facility issues.
• Support reasonable pantry or Social Hub setup and staff engagement activities when directed by NUH
HR, provided such duties are within the service scope and working hours.
• Perform other reasonable ad hoc duties related to the Level 6 Pantry and Social Hub as directed by NUH
HR
Requirements: 2.1 Mandatory qualifications
• Valid WSQ Food Safety Course Level 1 certification (formerly Basic Food Hygiene Course).
• Basic literacy and numeracy skills for record keeping, stock counts and communication.
• Ability to communicate clearly and courteously with staff, vendors and NUH representatives.
2.2 Preferred qualifications (but not limited to)
• WSQ Customer Service certification or equivalent.
• Relevant training in facilities management, workplace operations, hospitality or pantry services.
2.3 Relevant experience and competencies
• At least one (1) year of relevant experience in pantry operations, hospitality, facilities support, office
administration, customer service or a similar role.
• Practical experience operating and performing routine cleaning of fully automatic coffee machines or
similar beverage equipment.
• Experience in inventory monitoring, stock replenishment, consumables control and basic record keeping.
• Ability to identify basic machine alerts or operational issues and escalate faults promptly. Technical
repairs must only be performed by the appointed service vendor or authorised personnel.
