Name of Authority: Xinmin Primary School

Contract Period: 1 January 2027 to 31 December 2027.

Personnel to be deployed at the following hours:

* Mondays, Tuesdays and Thursdays: 7:30am to 5:30pm, inclusive of a one-hour lunch break.

* Wednesdays: 7:30am to 3:30pm, inclusive of a one-hour lunch break.

* Fridays: 7:30am to 3:45pm, inclusive of a one-hour lunch break.

* Service not required on Saturdays, Sundays and gazetted public holidays.

Requirements:

* Completed secondary school education.

* Good communication and interpersonal skills, teamwork and initiative are preferred.

* Proficiency in Microsoft Word, Excel and PowerPoint is preferred.

* Three years of relevant reception and administrative experience in a school environment is preferred.

Job Scopes:

The Services required are set out as follows:

1. Provide customer service in a busy primary school: answer calls, manage visitors, take messages and handle enquiries from parents, pupils, vendors and staff.

2. Contact parents each morning about absent pupils and convey messages to pupils during ad hoc or special events.

3. Provide first-level assistance to sick or injured pupils, including issuing fever patches or cold packs; promptly escalate cases needing further assistance.

4. Support pupils who vomit or soil their clothes; issue uniforms, assist with buttons and zips, and arrange snacks when needed.

5. Record incidents using FormSG on an iPad, and enter late-arrival and early-dismissal details for attendance tracking.

6. Use photocopiers and scanners; print documents from the shared drive and shred documents as required.

7. Count, sort and distribute brochures, leaflets and other items to teachers and pupils; assist with school breakfast coupon compilation.

8. Handle outgoing post and record incoming mail in Excel.

9. Maintain current, replenished forms in the reception forms cabinet.

10. Receive supplies and equipment, notify the teacher-in-charge and obtain the appointed Goods Acceptance Officer's signature on delivery orders.

11. Monitor and record students' use of the school phone, manage lost-and-found belongings and provide other general administrative support.
