The posting
- Handle administrative and coordination matters for the department including PA duties, travel arrangements, and scheduling support to the CEO
- Provide secretariat support for interdepartmental meetings, including preparing agendas
- Assist in and coordinate visits and events
- Provide administration, promotional and logistical support for SIAC training programmes, Academy courses, seminars and modules (in-person and online)
- Liaise with trainers and participants on administration and logistical matters including registration, payment, course material and scheduling
- Prepare evaluation reports, certificates of attendance and CPD reports
- Manage the SIAC Academy mailbox and attend to enquiries relating to courses
- Support management of general e-mail enquiries
- Update SIAC Academy alumni directory and list of lecturers
- Support Young SIAC and other SIAC-related membership and volunteer groups including handling enquiries and database administration
- Handle any other administrative and coordination matters for the department as assigned
Job Requirements
- Minimum Diploma or equivalent
- At least 3 years of experience in administration, including dealing with written correspondence, procurement and database management preferred
- Experience working for C-Suite or Management executives is relevant to this role
- Proficient in Microsoft Office applications like Word and Excel and online event platforms like Zoom and Microsoft teams
- Team player, good interpersonal, oral and written communication skills
- Meticulous, organised, high attention to detail and able to multi-task
- Service-oriented mindset
