Job Title: Clinic Administrator
Job Description
Our allied health clinic is looking for a friendly, organised Clinic Receptionist to be the first point of contact for our patients. You will welcome patients, manage appointments, handle billing at the front desk and keep the clinic running smoothly day to day. This role suits someone who enjoys working with people, stays calm when it gets busy and is comfortable using clinic software and digital tools.
Key Responsibilities
Reception & Patient Experience
- Greet patients and visitors warmly; manage check-in and check-out
- Answer enquiries by phone, WhatsApp, email, work chat and walk-in
- Keep the reception and waiting area clean, tidy and welcoming
- Handle patient concerns politely and escalate complaints or urgent matters to the practitioner or manager
- Collect patient feedback and encourage satisfied patients to leave Google reviews
Appointments & Patient Records (Cliniko)
- Schedule, reschedule and confirm appointments across multiple practitioners
- Send appointment reminders and follow up on no-shows and late cancellations
- Register new patients and keep patient records accurate and up to date
- Update practitioner calendars (e.g. rest or travel time) and help book internal meetings
- Forward messages to the right practitioner and follow up to make sure they're dealt with
Billing & Payments (Cliniko / Xero)
- Issue invoices and receipts after each session and collect payments at the counter
- Prepare documents for insurance and corporate claims
- Follow up on outstanding payments
- Help with daily collections and month-end payment reconciliation
- Enter expenses and receipts into Xero and keep records filed and organised
Clinic Support
- Help with opening and closing the clinic
- Prepare treatment rooms (non-clinical tasks) and coordinate room use
- Monitor supplies, reorder when stock is low, and receive and check deliveries
- Help coordinate visits from doctors
- Remind practitioners of meetings and take basic meeting notes when required
General Administration
- Maintain digital and physical filing systems
- Handle day-to-day coordination with vendors, insurers and outside service providers
- Help compile documents for grant applications and track deadlines
- Help prepare the monthly LinkedIn newsletter (gathering content, formatting, scheduling)
- Use AI tools (e.g. Claude) to draft messages, summarise information and speed up admin work
- Other administrative tasks as assigned
Requirements
- Diploma in any field; Business Administration, Accounting, Healthcare Administration or a related field preferred
- At least 1 year of experience in a receptionist, front desk, customer service or administrative role
- Bookkeeping experience (data entry, invoicing, payment reconciliation)
- Experience with Xero and Cliniko preferred (or similar accounting and clinic management software)
- Comfortable using AI tools such as Claude for everyday work
- Fluent in English and Chinese (spoken and written), as the role involves serving and corresponding with Chinese-speaking patients and their families
- Experience in a clinic or healthcare setting is an advantage
- Comfortable with Microsoft Office or Google Workspace
- Friendly, patient and professional, with a strong service mindset
- Organised and detail-oriented, able to multitask at a busy front desk
- Handles confidential patient information responsibly, in line with PDPA
