Executive, Admin, Sales & Marketing (Strata Management)
This role provides administrative support for property sales activities, processes invoices relating to property tax, maintenance fees and sinking fund contributions for unsold units, supports continuous improvement of internal processes, and liaises with internal and external stakeholders, including purchasers during the service of Notice of TOP, to ensure operational efficiency and customer satisfaction.
Job Responsibilities:
- Provide sales administration support for the sale of strata units, including weekly submission of sales data to URA (OSDP).
- Liaise with appointed solicitors on sales administration, notices for payments and payment matters.
- Process invoices for property tax (land and unsold units), maintenance fees and sinking fund contributions for unsold units.
- Prepare listings of property tax reimbursement amounts payable to purchasers and submit them to the Accounts Department when required.
- Perform general administrative and clerical duties, including packing of files to be warehoused.
- Apply for and administer Corporate Pass.
- Provide inter-department customer service.
- Liaise with purchasers in relation to the service of Notice of TOP.
- Process commission for JMAs and SCs.
- Raise Purchase Orders (POs) to support operational requirements.
- Process invoices to facilitate departmental operations.
- Assist with DJ screening for third-party payors when required.
- Assist in maintaining accurate records and tracking of Customer Due Diligence (CDD) and AML cases when required.
- Perform other ad hoc duties as assigned.
Departmental Admin & Secretarial Support
- Manage calendars for S&M HOD.
- Coordinate and schedule S&M departmental & project related meetings.
- Assist in departmental communications when required.
- Assist in departmental budget.
Job Requirements:
- Minimum N-Level or GCE O-Level qualification.
- At least 2 to 3 years of administrative experience, preferably in the real estate industry.
- Knowledge of SAP would be an advantage.
- Proficient in Microsoft Office applications.
- Pleasant personality with a positive attitude.
- Able to work under pressure and meet deadlines.
- Able to work independently as well as part of a team.
