Seeking a proactive and organized Executive Assistant to support senior leadership with scheduling, meetings, travel, communications, and administrative tasks while maintaining professionalism and confidentiality.
Responsibilities
- Oversee executive calendars, schedules, communications, and meeting arrangements to ensure alignment with business priorities.
- Coordinate and facilitate leadership meetings, town halls, and corporate events, including agenda preparation, documentation, and logistics management.
- Manage domestic and international travel arrangements, itineraries, travel documentation, and expense claims.
- Prepare and develop presentations, reports, correspondence, and executive-level communications.
- Serve as the primary liaison between senior leadership and internal or external stakeholders, fostering strong professional relationships.
- Maintain confidential records, documents, and administrative systems while ensuring accuracy and compliance.
- Support and drive departmental projects, vendor coordination, procurement activities, and operational initiatives.
- Monitor, track, and follow up on key action items, deliverables, and business commitments to ensure timely execution.
- Identify and implement process improvements to enhance administrative efficiency and support business effectiveness.
Requirements
- Diploma or Bachelor’s degree in any discipline.
- 3–5 years of experience supporting senior executives or leadership teams.
- Proficient in Microsoft 365, including Outlook, Excel, PowerPoint and SharePoint.
- Experience with Concur is preferred.
- Excellent organizational and multitasking abilities.
- Able to handle confidential information with discretion and professionalism.
