Job Summary
Join a global investment management firm as an Executive Assistant supporting investment professionals. Manage complex schedules, coordinate international travel, and exercise sound judgment in a fast-paced environment for Fixed Income or Equity teams.
Responsibilities
- Manage complex calendars by resolving scheduling conflicts and prioritising competing requests from multiple stakeholders to ensure efficient time management.
- Coordinate meetings across multiple time zones, adapting to changing business priorities to maintain seamless communication.
- Arrange international travel including preparing detailed itineraries, managing visa applications, and handling travel plan changes to support business needs.
- Provide high-volume travel and scheduling support tailored to the Equity team or customised travel coordination for the Fixed Income team.
- Anticipate stakeholder needs by proactively identifying and resolving issues independently and following through on outstanding matters.
- Communicate clearly and effectively with investment professionals and fellow executive assistants to ensure coordinated and consistent support.
- Exercise discretion and maintain confidentiality when handling sensitive information to protect stakeholder privacy and company interests.
Required competencies and certifications
- Demonstrated experience supporting demanding senior stakeholders as an Executive Assistant, Personal Assistant, or Team Assistant.
- Proven ability to manage complex calendars and coordinate international travel arrangements effectively.
- Excellent organisational skills with the ability to prioritise tasks and manage pressure in a dynamic environment.
- Proactive and resourceful approach with confidence to clarify priorities and professionally manage conflicting requests.
- Strong communication skills to build and maintain effective working relationships.
- Working proficiency in Microsoft Excel and ability to complete a practical calendar-management assessment.
- Flexibility to accommodate occasional early starts based on stakeholder requirements.
Other Information
Work Arrangement
- Monday to Thursday in the office, with the option to work from home on Fridays.
- Greater onsite presence expected during the initial onboarding period.
Selection Process
- Initial screening, a 45-minute practical Excel-based calendar-management assessment, and interviews with the hiring manager, executive assistants, and investment stakeholders.
