This is a hands-on, multi-functional role suited to an organised and commercially minded individual who is comfortable working across finance, administration, compliance and business support in a lean team.

Key Responsibilities

1. Finance & Accounts Support

  • Prepare and process invoices, payment requests, expense claims and supporting financial documentation.
  • Track course revenue, client payments, trainer fees, programme expenses and outstanding receivables.
  • Maintain accurate financial records and assist with budget tracking, financial reconciliations and periodic reporting.
  • Coordinate payment processing with trainers, vendors and clients, ensuring adherence to internal procedures.
  • Support the preparation of course-level financial summaries and cost reports.
  • Liaise with the University’s finance team on financial documentation, approvals and related queries.

2. SSG Administration & Compliance

  • Coordinate administrative processes relating to SSG-funded training programmes, including course registrations, enrolments, attendance records and claims documentation.
  • Maintain accurate and complete course records in accordance with applicable SSG requirements and the Centre’s internal procedures.
  • Assist with course submissions, updates, supporting documents and reporting through relevant SSG systems and platforms, including the Training Partners Gateway (TPG), where applicable.
  • Monitor administrative deadlines and ensure required documentation is submitted accurately and on time.
  • Support the preparation of records for internal reviews, audits and compliance checks.
  • Maintain organised records of learner feedback, assessment documentation, trainer information and other required programme evidence.
  • Keep abreast of relevant procedural updates and escalate potential compliance issues or discrepancies promptly.

3. Sales & Business Development Support

  • Support the sales team in preparing quotations, proposals, contracts, invoices and client documentation.
  • Coordinate course enquiries, registrations, enrolment confirmations and follow-ups with prospective participants and corporate clients.
  • Maintain and update customer relationship management (CRM) records, sales pipelines and enquiry databases.
  • Assist with lead tracking, sales reports, enrolment updates and follow-up activities.
  • Coordinate with clients, trainers and internal stakeholders to ensure smooth programme administration and delivery.
  • Support corporate events, information sessions, executive education programmes and other business development activities.

4. Programme & General Administration

  • Coordinate training schedules, venues, materials, catering, trainer arrangements and participant communications.
  • Maintain course calendars, participant lists, attendance records and programme documentation.
  • Provide administrative support for meetings, events and visiting faculty or corporate clients.
  • Develop and maintain efficient filing systems, checklists and administrative workflows.
  • Undertake other operational duties as required to support the Centre’s activities.

Requirements

  • A good diploma or degree in Accounting, Finance, Business Administration or a related discipline.
  • At least 2–4 years of relevant experience in finance administration, accounts support, training operations or business administration.
  • Good numerical ability and proficiency in Microsoft Excel and other Microsoft Office applications.
  • Strong organisational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
  • Good written and verbal communication skills, with the ability to liaise professionally with clients, trainers and internal stakeholders.
  • A proactive, service-oriented and solutions-focused approach to work.
  • Ability to work independently, exercise sound judgement and contribute effectively within a small team.

Advantageous Experience

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
