Job Summary
Our client, a reputable Singapore law firm, seeks a Fund Administration Executive to support Single Family Offices and investment structures, focusing on MAS tax compliance, corporate governance, regulatory matters, and Data Protection Officer services.
Responsibilities
- Support the establishment and ongoing administration of Single Family Offices (SFOs), investment funds, and related investment structures to ensure operational efficiency and compliance
- Assist clients in fulfilling ongoing compliance requirements under MAS Section 13O and 13U tax incentive schemes to maintain regulatory adherence
- Coordinate client onboarding processes, including preparing KYC/CDD documentation, conducting AML screening, and performing due diligence to mitigate risks
- Liaise with clients, auditors, tax advisors, banks, and professional service providers to resolve fund administration and regulatory issues effectively
- Prepare and maintain legal, compliance, and corporate documentation such as resolutions, statutory records, and regulatory filings to ensure accurate record-keeping
- Support corporate secretarial functions including entity incorporation, annual filings, and ongoing corporate compliance to uphold governance standards
- Assist with regulatory submissions and correspondence with ACRA, MAS, and other authorities to facilitate timely approvals and compliance
- Act as the appointed Data Protection Officer (DPO) for clients by maintaining PDPA compliance documentation, reviewing data protection policies, and supporting data protection initiatives
- Collaborate closely with Legal, Corporate Secretarial, and Compliance teams to deliver integrated corporate and family office solutions that meet client needs
Required competencies and certifications
- Degree in Accountancy, Law, Business Administration, Corporate Administration, or a related discipline
- Minimum 4 years of relevant experience in Fund Administration, Family Office, Corporate Services, Corporate Secretarial, Legal, Compliance, or Financial Services
- Familiarity with MAS Section 13O/13U tax incentive schemes, AML/CFT, CDD/KYC, and Singapore regulatory requirements
- Good knowledge of the Singapore Companies Act 1967, ACRA filing requirements, and corporate governance practices
Preferred competencies and qualifications
- Experience supporting private equity, venture capital, hedge funds, investment funds, trust companies, or family office structures
- Familiarity with the Personal Data Protection Act (PDPA) and/or experience serving as a Data Protection Officer (DPO)
- Proficiency in Microsoft Office applications; experience with corporate secretarial management systems
- Strong organisational, analytical, and communication skills with excellent attention to detail and ability to manage multiple priorities independently
- Professional and client-focused approach with the ability to build strong relationships with clients and stakeholders
- Excellent written and verbal communication skills in English and Mandarin to effectively liaise with English- and Mandarin-speaking clients and stakeholders, supporting bilingual client engagement
