Job Overview
The HR & Admin Executive will support the day-to-day human resources and administrative operations of the Company, with a primary focus on general office administration, employee services and coordination. The role will also support recruitment, employee administration and other HR-related matters as required.
Job Descriptions
HR Operations
• Maintain employee records and HR documentation, ensuring information is accurate and up to date
• Support recruitment activities, including job postings, interview coordination and onboarding/offboarding arrangements
• Assist with employee leave, attendance and other HR administrative matters
• Support work pass applications, renewals and cancellations where required
• Assist with employee insurance, benefits and other employee-related administrative matters
• Support employee engagement activities and other HR initiatives
Office Administration
• Handle day-to-day office administration and ensure smooth office operations
• Liaise with building management, contractors, suppliers and service providers on office-related matters
• Manage office supplies, pantry supplies, equipment and general office facilities
• Coordinate maintenance, repairs, cleaning and other office services
• Maintain proper records of contracts, invoices, office assets and administrative documents
General Administration & Support
• Assist with travel arrangements, meetings, events and other administrative coordination where required
• Process administrative invoices, claims and payments in accordance with Company procedures
• Support procurement and vendor management for general office requirements
• Assist with office moves, workplace arrangements and other administrative projects as required
• Perform other HR and administrative duties as assigned by Management
Job Requirements
· Diploma or Bachelor’s Degree in Human Resource Management, Business Administration or a related discipline
· Minimum3 years of relevant experience in office administration and/or HR ad ministration
· Experience in general office administration, vendor coordination and office services management
· Basic knowledge of HR administrative processes and Singapore employment practices, including work pass matters
· Proficiency in Microsoft Office (Word, Excel and PowerPoint)
· Organized, meticulous and able to manage multiple tasks independently
· Good communication and interpersonal skills, with a service-oriented attitude
· Able to handle confidential information with discretion
