Import Executive (Salary range $2.5k - $3.2K)
Job Title: Import Executive Work Schedule: Monday–Friday: 8:30 AM – 6:00 PM (OT applies after 6:00 PM) Saturday: From 8:00 AM onward (all hours paid as OT)
Job Description
We are seeking an experienced, motivated, and detail-oriented Import Executive to lead our Import/Export operations team. This position requires strong leadership, excellent communication skills, and the ability to work in a fast-paced environment with significant opportunities for career advancement.
The ideal candidate will be responsible for ensuring smooth, accurate, and timely management of all import and export processes while supporting wider procurement, sourcing, sales, and logistics functions.
Key Responsibilities
Operational & Documentation Management
- Oversee and manage the Import/Export team to achieve operational excellence, continuous improvement, and adherence to timelines.
- Handle and process full sets of import and export shipping documents, including permit applications, costings, bank documents, and related paperwork. (Training provided)
- Liaise with suppliers, freight forwarders, internal teams, and external stakeholders to ensure timely and accurate shipment execution.
- Monitor, update, and follow up on outstanding orders with overseas suppliers.
- Ensure all documentation required for customs clearance and shipment processing is complete and accurate.
Inventory & Warehouse Coordination
- Conduct cycle stock counts for designated items.
- Coordinate inbound and outbound stock movement at external warehouses.
- Purchase local stocks from local vendors when required.
Procurement, Sourcing & Vendor Coordination
- Understand customer needs and ensure deliverables meet or exceed expectations.
- Perform strong sourcing and procurement activities, ensuring competitive pricing, reliability, and quality.
- Build and maintain strong relationships with suppliers, vendors, and freight forwarders.
- Negotiate contract terms, prices, and delivery arrangements to optimize costs and timelines.
Client Management & Sales Support
- Maintain close working relationships with key customers to support business needs.
- Manage sales reports, stock analysis, and sales forecasting.
- Assist in sourcing and acquiring new clients under the guidance of Managers.
- Conduct market analysis of existing and new markets to support strategic expansion.
General Responsibilities
- Ensure complete and timely delivery of all orders.
- Provide operational support to related departments as required.
- Assist management with any additional duties as assigned.
Requirements
- Diploma or bachelor’s degree in Logistics, Supply Chain, Operations, Business, or a related field.
- Minimum 1 year of relevant experience in import/export, shipping, logistics, procurement, or warehouse coordination.
- Experience with SAP is an advantage; training will be provided if needed.
- Strong leadership, communication, and decision-making abilities.
- Excellent written communication skills for preparing reports, procedures, and documentation.
