The posting

We are seeking a Legal and Contract Executive to provide day-to-day support in legal, contract, procurement, and administrative matters. The role will assist with contract review and drafting, legal research, procurement coordination, contract administration, document management, and stakeholders’ coordination.

Job Description

A. Contract Review & Legal Advisory

  • Review, draft and negotiate routine to moderately complex agreements, including service agreements, procurement contracts, MOUs, NDAs, data-sharing and variation agreements.
  • Prepare contract mark-ups, issue lists, negotiation comments and recommendations.
  • Review contractual deviations and identify legal, contractual and operational risks with appropriate mitigation.
  • Conduct legal and regulatory research and prepare legal notes, briefing papers and stakeholder communications.
  • Escalate novel, high-risk or precedent-setting matters to the Deputy Director, Legal.
  • Maintain records of legal advice, recommendations and approved positions.

B. Procurement & Contract Management

  • Review procurement documents and conditions of contract.
  • Provide legal and administrative support for quotations, tenders and procurement exercises.
  • Coordinate procurement clarifications, responses and documentation with relevant stakeholders.
  • Support contract variations, extensions, novations, assignments and termination matters.
  • Coordinate the end-to-end administration of panel law firm tender exercises, including timelines, documentation, briefings, evaluations, approval papers and onboarding.
  • Maintain complete, accurate and auditable procurement records.

C. Legal Operations & Administration

  • Maintain legal matter trackers, contract repositories, templates, precedents and knowledge resources.
  • Monitor deadlines, milestones, follow-ups and outstanding actions.
  • Support contract execution, document filing, version control and reporting requirements.
  • Coordinate meetings, prepare supporting materials and facilitate communication between Legal, Procurement, Finance and business units.

D. Reporting

  • Provide periodic updates on assigned matters, procurement and tender status, matter trackers, outstanding actions and service reports as required by the Deputy Director.
  • Any other relevant duties as assigned.

Requirements

  • Recognised Law Degree from a Commonwealth jurisdiction.
  • At least 1 year experience in data protection, data-sharing, intellectual property, or technology contracting.
  • Experience in commercial agreements, contract administration, procurement support, project coordination, or legal operations is preferred.
  • Relevant experience in the public sector environment including ministries, organs of state or statutory boards, will be an advantage.
  • Experience in reviewing, drafting, and negotiating commercial agreements, including service agreements, NDAs, procurement, and operational contracts.
  • Able to act as point of contact for Legal functions, contracts, procurement, and provide continuity during the Deputy Director, Legal’s absence.
  • Strong ability to triage matters, coordinate stakeholders, maintain records/audit trails, and escalate material or high-risk matters appropriately.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams).
  • Excellent communication and interpersonal skills.
  • Detail-oriented, organised, and able to manage time effectively.
  • Able to work independently and collaboratively as part of a team.
